About the Job

The residency program manager is responsible for the day-to-day operations and educational coordination for the trainees in the Obstetrics and Gynecology residency program. They will be the operational link between the Program Director, trainees, and institutional administrative offices. This individual will bring excellent organizational skills, a service-mindset, and professional verbal and written communication skills. They will be comfortable working in a fast-paced environment managing multiple priorities.

Program Administration (60%)

  • Serves as the point of contact for all residency-related matters. Primary communications strategist for all program-related communications, internal and public-facing
  • Point of contact for program policy questions. Provide trainee and faculty support as subject-matter expert on processes governing scholarly activity, resident assessment, HR-related matters (PTO, leaves of absence), rotation schedules, and additional aspects of program management through use of Residency Management Suite (RMS)
  • Responsible for managing and maintaining template rotation schedules
  • Responsible for maintaining all current resident and alumni records. Reviews all requirements for completion of training program, audit status of all trainees to determine requirements for their next level of training, maintain alumni database and prepare final verification of training documents.
  • Manages onboarding and orientation activities. Manage programmatic events including workshops, conferences, required exams, and graduation
  • Track resident expenses and assist with reimbursement processing,
  • Partners with Program Directors, Chief Resident, and Education Manager to implement programmatic changes and process improvements

Program Compliance and Recruitment (30%)

  • Clinical Competence Committee (CCC): Manage evaluation system of trainees, faculty and rotations used by the CCC. Amend evaluations to reflect changes in the ACGME requirements. Develop and execute an approach to submit milestone reports to the ACGME
  • Oversee Program Evaluation Committees (PEC): Develop action plans for programs to meet goals set during the annual program evaluation
  • Partners with the Program Director and Education Manager to ensure that the program and trainees are compliant with all ACGME and GME policies and administrative requirements. Duties include annual Web Based Accreditation Data System (Web ADS) update. Responsible for coordination of events and preparation of required documents in the event of a program site visit
  • Assist with aspects of annual recruitment season while serving as primary contact for applicants and faculty, including use of ResidencyCAS, the system used to manage applicants participating in the National Resident Matching Program (NRMP)
  • Develops and/or update recruitment documents
  • Coordinates and participates in recruitment days

Additional Responsibilities (10%)

  • Performs special projects and other duties as assigned by supervisor
Qualifications

All required qualifications must be documented on application materials

Required Qualifications:

  • BA/BS degree or a combination of related education and work experience equal to four years
  • Demonstrated ability to organize and present complex information
  • Demonstrated experience handling a wide range of administrative related tasks with a commitment to professionalism and confidentiality
  • Excellent verbal and written communication skills
  • Ability to problem-solve independently and proactively
  • Demonstrated interpersonal skills and customer service experience
  • Proficiency in Microsoft Word, PowerPoint, Excel, Google applications, with the capability to learn new systems as needed

Preferred Qualifications:

  • Demonstrated experience working closely with surgeons, physicians, or other medical leaders
  • Experience supporting Graduate Medical Education programs
  • Experience supporting an ACGME accredited program
  • Training in and knowledge of University of Minnesota systems, policies and procedures including EFS and PeopleSoft
  • Experience with both small and large group, formal and information presentations

This is a Monday - Friday, 8:00am -4:30pm, position that will initially start as an in office position, transitioning to a hybrid model after initial training. Expectations for on-site work is 20% - 50%, flexibility is required for program related events.

Starting Salary (based on qualifications): $58,000 - $65,000/yr

About the Department

The Department of Obstetrics, Gynecology and Women's Health provides training to 36 residents over 4 years. The residency coordinator will be instrumental in the management of educational programs and rotations at multiple training locations. They will be a key team member along with the Program Director, chief residents and Education Manager in providing the national and institutional regulatory requirements of the program.
