General Information: University Marketing and Branding at James Madison University is searching for an Administrative Assistant to effectively and efficiently serve three subunits in the Department of University Marketing and Branding. Those subunits are Content Marketing, Digital Marketing, and Advancement Marketing. Duties and Responsibilities: Manage the budget and financial records, including tracking and reconciling the budget, preparing all budget forms, and transferring funds Understanding of university and college policies, procedures and practices related to event planning and scheduling Process travel reimbursements for staff Orders office supplies and equipment through eVA. Execute the hiring process for employees, including student employees Maintain confidential personnel records Manage timesheets, time entry, and payroll records Conducts credit card purchases and reconciliation of staff credit cards Submit requests to other areas, including Facilities Management, the Motor Pool, and Telecommunications Schedule meetings, reserve rooms, plan events, order catering, complete business meal certification forms, and set up events Process timesheets for student interns Answer the phone, maintain records, and manage calendars Work approximately 29 hours per week Other duties as assigned to support the UMB mission Qualifications: Required:
- Exemplary organizational and planning skills with the ability to balance, prioritize and complete multiple tasks
- Exceptional computer skills with an expectation of in-depth knowledge of relevant software such as MS Office (Outlook, Word, Excel, PowerPoint)
Additional Considerations:
- Experience in fiscal data management and accounting processes and systems, including fiscal record-keeping methods, practices, and procedures
- Demonstrated ability to learn and follow policies and procedures
- Excellent oral and written communication skills, particularly the proper use of grammar and punctuation
- Demonstrated ability to interact effectively and professionally with a multi-disciplinary and cross-trained team of faculty, staff, and students.
- Flexibility to balance long and short term projects.
- Knowledge of standard office administrative practices and procedures
