GENERAL SUMMARY: As Lead Executive Assistant, you will have access to and the opportunity to influence and drive the Health System. You will be the trusted go-to resource for two Executive Leaders in the following roles: EVP & Chief Clinical Officer, EVP Finance & Administration & CFO, EVP & General Counsel, President of Health Care Operations and COO, in managing strategic projects and championing change. Acts as a resource/liaison for Executive Support Services staff and all other business unit personnel throughout the System. This position will work closely with the Executive Leader on complex projects to ensure that the visions of the System are worked through with an optimal level of support. This position will be a resource to those engaged in operational projects to enable the most efficient and effective ways to move forward by focusing and concentrating on eliminating duplication, increasing accountability and enhancing alignment across the System. PRINCIPLE DUTIES AND RESPONSIBILITIES:
- This role coordinates with senior executives, physician leaders, presidents and market CEOs, elected officials, major donors, board members, and community leaders. Demonstrates the ability to analyze, integrate, recommend, and contribute cross-functionally.
- This position is responsible for working independently to coordinate every aspect of the office of Executive Leader. Will be effective, versatile and action oriented. Handles a wide variety of situations requiring knowledge of the overall functions of all areas of responsibility with tact and confidentiality. Keeps the Executive Leader appropriately informed of relevant issues by demonstrating the discretion to determine the importance and urgency of issues.
- Schedules appointments and coordinates arrangements for meetings and conferences, often of a System-wide or complex nature. Sets up direct report and other critical stakeholder meetings, including agendas requiring knowledge of the purpose of the meetings, organizational priorities, and confidentiality. Ensures that appropriate parties are included in the meetings. Ensures that attendees know of any pre-meeting work required. Compiles pre-meeting materials. Follows up as needed.
- Manages the Executive Leader's daily calendar of activities having authority to commit or cancel. Manages the calendar in planning, communication and
coordination of internal and external meetings and demonstrates the insight and sophistication to construct and alter meetings such that all relevant individuals are included to accomplish the goal of the meeting with maximal efficiency and minimal likelihood of the need to schedule additional meetings. This may include proactively modifying requested meetings. - Responds to inquiries concerning activities and operation of various corporate and hospital departments, general administrative activities and operations, and routine informational questions and handles complex and sensitive inquiries.
- Helps create, build and influence alignment by recognizing opportunities and creating synergy between various parties while helping to ensure a level of accountability to the Executive Leader.
- Supports and encourages the removal of barriers by crossing organizational boundaries to enhance support and to move initiatives forward. Recommends approaches aimed at creating a desired and successful outcome.
- Drive continuous improvement of operational processes with a focus on simplification.
- Lead or support projects including presentations, team initiatives, project plans, etc.
- Maintain consistency across key documents, templates.
- Proactively manage leader's time and communication strategy.
- Oversee both credit card and expense reports.

EDUCATION/EXPERIENCE REQUIRED:
- High School Diploma/G.E.D. required composing and preparing a variety of confidential reports, tables, memorandums, etc. Associates Degree in business or a secretarial field from a business school or college is preferred.
- Approximately ten (10) years of progressively more responsible secretarial experience, with at least two (5) years as a secretary to a senior level manager in order to acquire an advanced level of secretarial skills and overall knowledge of office procedures and protocols required at the senior management level.
- Advanced knowledge of Microsoft Applications necessary to prepare complex professional documents, presentations, and reports. - Excel, Outlook, PowerPoint and Word.
