Minimal Qualifications:

  • Bachelor's degree.
  • Four (4) years administrative management, student support, project management or program related experience



Preferred qualifications:
Preference will be given to individuals who possess:
  • Master's degree - preferred.


Work Hours
Normally scheduled Monday through Friday; however, may be required to work other shifts to include evenings and/or weekends. Schedule subject to change based upon department needs.


Compensation
Starting is $54,867-$58,159

Class Summary
Incumbents provide comprehensive and professional administrative support, and assist with strategic planning, financial/accounting management, budget, program design, fundraising, grant management, projects, marketing and public relations for an assigned functional area.

Typical Essential Duties

  • Serves as the primary liaison with the underutilized business community and initial contact person for those interested in information on doing business with MCC.
  • Works collaboratively with the Executive Director of Procurement Services to provide direction and leadership for the daily operations by advocating continuous process improvement in order to achieve institutional goals in building a robust supplier diversity program district wide.
  • Supports the Executive Director of Procurement Services to research diverse suppliers.
  • Develops strategies to increase Procurement and Facility Services' utilization of diverse businesses and monitor their progress.
  • Ensures that the institution's strategic plan is executed district-wide to maximize opportunities for both potential diverse and small suppliers of goods and services so as to participate fully in the college's procurement contract process.
  • Provides functional guidance to supplier diversity activities in accordance with Federal and State regulations, public laws and relevant contractual or legislative mandates pertaining to underutilized businesses.
  • Provides leadership, direction and management over the college's mission concerning Supplier Diversity.
  • Represents the college in local, state and national organizations, serves on various committees, attends formal/informal functions designed to promote and market supplier diversity, and/or responsible purchasing initiatives dedicated to small business development.
  • Organizes, develops, coordinates, and presents training sessions covering supplier diversity awareness and utilization for employees involved in purchasing activities.
  • Publishes and keeps up-to-date links to underutilized business directories/databases.
  • Supports the procurement staff by identifying and prequalifying diverse business owners for procurement opportunities.
  • Manages the development and execution of an aggressive community outreach program for MCC, supports diverse suppliers through coaching, workshops, and resources to help them, provides networking and outreach activities to the business community via hosting MCC annual events.
  • Develops and implements tools to categorize/monitor/report diverse supplier usage via an on- line vendor application form and prepares and distributes all scheduled ad-hoc reports for diverse supplier activity
  • Collects, calculates and corrects payment errors and prepares 1099 MISC documents for distribution to contractors, suppliers, and other entities that meet the requirement for reporting revenue to the Internal Revenue Service.
  • Work may involve reviewing applications or other information to determine program eligibility or compliance with Federal, State, and local laws, regulations, policies, procedures, standards, and requirements; and assisting with coordinating special project operations.
  • Manages an assigned budget; work may involve monitoring and authorizing program expenditures, and making and implementing recommendations related to budget processes and procedures.
  • Plans, schedules, and coordinates events, visits, programs, course and other schedules, and meetings; work may involve reserving rooms and other spaces; contacting and sending out notifications to appropriate personnel, vendors, and other agencies; maintaining calendars; monitoring staff operations; transcribing and sending out minutes and preparing meeting agendas.
  • Prepares, edits, formats, reconciles, maintains, and/or submits statistical reports, financial reports, communications materials, work may include compiling and analyzing information, and making and implementing related recommendations.
  • Maintains and updates databases and online systems; work may involve entering information related to invoices, payments, purchase orders, vendors, resolving data discrepancies; maintaining a variety of records; and running reports.
  • Perform customer service duties to include providing general and specific information visitors, employees, and students via phone, email, or in person; and responding to concerns or complaints.
  • Coordinates with internal and external personnel, departments, and agencies to communicate information, serve as liaison, represent the department/College, raise funds, and to facilitate departmental operations
