Job Description Summary

The Associate University Registrar is an essential position within the Office of the University Registrar and provides academic operations support, with a focus on the Academic Bulletin, curriculum and academic policies, degree audit, degree completion, and transfer credit articulation. The position is a member of the leadership team and provides secondary support to other members of the leadership team.

Job Description

Essential Functions:

In supervision of the Assistant University Registrar for Curriculum and Graduation and the Assistant University Registrar for Transfer, provide primary support and leadership for the following:

  • Academic Bulletin: Gather updates from academic departments, format the Academic Bulletin, and ensure timely publication annually. Make corresponding updates within Workday Student.
  • Degree audit: Maintain the accuracy and functionality of the degree audit system in response to curriculum changes and the processing of academic override requests.
  • Degree completion: Monitor student progress toward degree completion, prepare the report of pending graduates for faculty approval, and apply departmental and Latin honors.
  • Transfer credit articulation: Ensure timely evaluation and accurate articulation of transfer credit from pre-college and post-secondary coursework.
  • Committee work: Represent the Office of the University Registrar as a member of the Committee on Academic Affairs and the Curriculum Committee and provide interpretation of academic policies related to curriculum.
  • Leadership: Actively contribute to the leadership team within the Office of the University Registrar.

Other Functions:

In partnership with the Senior Associate University Registrar and the Director of Student Data Reporting Services, provide secondary support for the following:

  • Student cohorts: Evaluate requests for the creation of cohorts, create and modify cohorts as needed, and accurately manage student membership based on academic records.
  • Security: Assess requests for security access to business objects and domains within Workday Student.
  • Data loads: Prepare data to be loaded via EIB, validate data, and load to Workday Student.
  • Mass operations: Generate reports to identify students for processing via Mass Operation Management to add and remove student holds.
  • Student core: Maintain academic levels, units, calendars, periods, and grading schemes.
  • Student records: Edit student records using Workday administrator tasks.
  • Workday Student: Stay informed of the roadmap and recommend features for uptake.

Required Education, Knowledge, Skills, Abilities:

  • Bachelor's degree or equivalent combination of skills and experience
  • Five years of related professional experience
  • Ability to work effectively and collegially with faculty, staff, and students
  • Superior communication, critical thinking, and problem-solving skills

Preferred Education, Knowledge, Skills, Abilities:

  • Master's degree or equivalent combination of skills and experience
  • Experience with Workday Student or similar student information systems
  • Experience working with or in an administrative office at a postsecondary institution
  • Direct or functional supervision of staff

Accountabilities:

  • Supervise the Assistant University Registrar for Academic Records - Curriculum Support
  • Supervise the Assistant University Registrar for Transfer Evaluation

Physical Requirements:

  • Sedentary work primarily involves sitting/standing; communicating with others to exchange information; repeating motions that may include the wrists, hands, and/or fingers; and assessing the accuracy, neatness, and thoroughness of the work assigned.
