Description of primary duties and responsibilities:
Primary Purpose of the Organizational Unit:

The mission of Information Technology Services is to explore, implement, and support the uses of technology to achieve the University's academic and administrative objectives as stated in the University strategic plan.

Primary Purpose of the Position:
The IT Communications Specialist plays a critical role within the Division of Information Technology Services ( ITS), serving as a key member of the Learning Technologies & Engagement Services Team. This position is responsible for leading the strategic development, coordination, and distribution of all IT communications, ensuring that complex technical information is translated into clear, accessible messages for diverse audiences. By fostering effective communication, the IT Communications Specialist enhances user engagement, promotes IT initiatives, and strengthens the overall impact of ITS services across the institution. Their work is essential to maintaining transparency, driving user adoption of technology, and supporting the Division's commitment to excellence in service delivery.

IT Communications

  • Organize and lead outreach initiatives, such as workshops or webinars, to increase awareness of ITS services and resources.
  • Develop and execute IT communication strategies to support key ITS initiatives and projects.
  • Craft clear and engaging content for various platforms (email, web, social media, bi-monthly Technology@FSU e-newsletter, etc.) to ensure users understand ITS services, updates, and policies.
  • Collaborate with technical teams to translate complex IT concepts into user-friendly language for non-technical audiences.
  • Manage ITS-related announcements such as system updates, outages, maintenance schedules, and new service rollouts.
  • Maintain and update ITS web content to ensure information is current, accurate, and easily accessible.
  • Create training materials and guides to help users effectively utilize ITS tools, platforms, and services.
  • Monitor and manage internal and external feedback channels to address user concerns and improve communication strategies.
  • Coordinate with various departments to ensure consistent messaging across the organization.
  • Measure and analyze the effectiveness of communication efforts through surveys, user feedback, and engagement metrics.
  • Ensure brand consistency in all ITS communications, adhering to university or organizational guidelines.

Description of Work Continued:
Project and Change Management

  • Create and implement comprehensive communication strategies to support ITS projects and change initiatives, ensuring stakeholders are informed and engaged throughout the process.
  • Stakeholder Analysis and Engagement: Identify key stakeholders, assess their communication needs, and tailor messaging to ensure understanding and buy-in for project or change efforts.
  • Translate technical details and project updates into concise, user-friendly content for diverse audiences, including faculty, staff, students, and external partners.
  • Produce a variety of communication materials such as emails, newsletters, FAQs, guides, presentations, and other resources to support change initiatives.
  • Change Readiness Communications: Prepare and deliver communications that facilitate user readiness for upcoming changes, ensuring smooth transitions with minimal disruption to operations.
  • Develop mechanisms for gathering feedback from stakeholders and users during project rollouts or change processes to inform adjustments and improvements.
  • Work closely with project managers, ITS leadership, and functional teams to align communication strategies with project goals and timelines.
  • Risk Mitigation Communication: Identify potential communication gaps and proactively address concerns or misconceptions that may arise during project implementation or change management.
  • Partner with training teams to promote and inform stakeholders about available resources, workshops, and support systems tied to the project or change.


Strategy & Planning

  • Create and implement a comprehensive ITS communication strategy aligned with the Division's goals and objectives.
  • Conduct research to identify key stakeholders, understand their communication needs, and tailor messages to different audience groups, including students, faculty, staff, and external partners.
  • Develop a content calendar and roadmap to ensure consistent and timely dissemination of ITS news, updates, and initiatives.
  • Ensure that all communications adhere to the institution's brand standards and messaging guidelines, reflecting the core values and vision of the Division of ITS.
  • Establish communication protocols for handling ITS crises or major incidents, ensuring clear and timely updates to minimize disruptions and confusion.
  • Collaborate with other departments within ITS and across the institutions to align communication efforts with organizational goals and strategic initiatives.
  • Define key performance indicators (KPIs) to measure the effectiveness of communication strategies, regularly assessing and adjusting plans based on data and feedback.
  • Plan and execute communication campaigns to promote user adoption of new ITS systems, tools, or updates, highlighting their benefits and best practices.
  • Identify and allocate necessary resources, including budget, tools, and personnel, to effectively execute communication plans.

Minimum Education And Experience Requirements:
A bachelor's degree in a discipline related to the area of assignment or an equivalent combination of training and experience, 2-4 years of experience. All degrees must be received from appropriately accredited institutions.
Knowledge, Skills And Abilities:

  • Strong written, oral, and interpersonal skills.
  • Skilled at converting complex technical topics into easy-to-understand communications.
  • Technical skills in systems and applications used to develop and distribute communications.
  • Proficient in creating digital content that is accessible to diverse audiences.
  • Motivation to work both independently and collaboratively.


Preferred Qualifications:
Experience working with various communication systems.
