Job Description

Opportunity at a Glance

The American University of the Caribbean School of Medicine Registrar provides oversight and management for the registrar operations. The successful candidate will be responsible for creating an environment of consistency and accuracy across the University in the application of academic policies and procedures and the quality of student data. Will also be responsible for the oversight on all registrar operations and ensuring compliance with AUC academic policies, state and federal regulations, accreditation requirements, ECFMG regulations and FERPA regulations are followed to support the University's academic programs and student services.

Responsibilities

  • Responsible for the management and oversight of the Office of the Registrar Services and provides supervision and guidance regarding University policies and procedures.
  • Plans, directs and coordinates daily activities of the Office of the Registrar to meet the operational needs and goals of the University; examines, analyzes and revises processes as needed.
  • Identifies and strengthens the inter-dependencies between Registrar functions and the needs of other functional areas including the Office of Clinical Sciences, Student Finance and OCA.
  • Accountable for internal and external enrollment reporting relative to attrition information, USMLE data, enrollment and graduation information.
  • Collaborates to create efficiencies that will allow for timely and accurate internal and external reporting.
  • Oversees the registration and on campus check-in process each semester and provides reconciled enrollment data to various internal constituencies.
  • Systematically evaluates and prepares statistical reports to meet. internal/external requirements and reconcile data to ensure departmental processes are in compliance with appropriate parties related to students (i.e. Title IV, FERPA, etc.).
  • Longitudinally tracks student success from matriculation through graduation and provides analysis of academic metrics related to attrition, retention, success on step examinations, and residency acceptance.
  • Serves on various academic and administrative committees to support the University's mission and strategic goals.
  • Responsible for the communication and dissemination of University policies and procedures and ECFMG/USMLE policies and regulations; provides guidance and policy information on escalated student issues to ensure compliance.
  • Accountable for ensuring that students have met all graduation requirements and are eligible for ECFMG Certification and residency appointments.
  • Resolves escalated complaints and questions of students, hospitals and other constituents regarding service and policy.
  • Collaborates with administrators, deans, faculty and IT to facilitate and improve services to students, includingcatalog and registration policy questions.
  • Accountable for ensuring that registrar advisors are in compliance with Family Educational Rights and Privacy Act (FERPA) regulations.
  • Works closely with the Office of Student Finance and Finance departments to prepare for and respond to internal and external audit findings.
  • Develops the departmental budgets each fiscal year, approves expenditures and identifies opportunities for potential savings.
  • Travels to campuses, conferences, seminars and other professional events as needed.
  • Completes other duties as assigned.
  • Performs other duties as assigned.
  • Complies with all policies and standards.
Qualifications
  • Bachelor's Degree Required
  • Master's Degree Preferred
  • At least 3 years supervisory experiencer required
  • At least 3years of experience in registrar operations
  • Experience in conducting online and in-person training sessions preferred
  • Experience with Student Information Systems required
  • Experience with Banner software preferred
  • Project management experience required
  • Demonstrated understanding of the application of technology to deliver Records and Registration services
  • A positive attitude and ability to plan and adapt to change required
  • Must possess excellent customer service and communication skills
  • Strong analytical skills required to identify trends and improvement processes
  • Professional affiliation with AACRAO (American Association of Collegiate Registrar & Admissions Officers) preferred
  • Knowledge of principles, practices, methodology, and procedures for maintaining student academic records
  • Knowledge of FERPA and AACRAO guidelines
  • Must be proficient in Microsoft Office
  • Excellent communication and organizational skills with ability to set priorities and deadlines to ensure projects are completed
  • Travel may be up to 20-%.
Additional Information

In support of the pay transparency laws enacted across the country, the expected salary range for this position is between $70,696.34 and $124,230.14. Actual pay will be adjusted based on job-related factors permitted by law, such as experience and training; geographic location; licensure and certifications; market factors; departmental budgets; and responsibility.
