The Office of Undergraduate Courses and Curricula and University Academic Standards ( OUCCAS) manages the approval process for all undergraduate course and curricular offerings at NC State, is responsible for facilitating the University Courses and Curricula Committee ( UCCC), the Council on Undergraduate Education ( CUE), and serves as a point of contact for on-campus as well as off-campus entities and works directly with the Office of Assessment and Accreditation, the Graduate School, Office of Instructional Programs, Registration and Records, and the Colleges and Academies regarding undergraduate course and curricula related matters.
Essential Job Duties
The Program Associate - Undergraduate Curriculum reports directly to the Director of the Office of Undergraduate Courses, Curricula, and Academic Standards ( OUCCAS). This position will also support University College Curriculum.

The Program Associate will provide expert coordination, analysis, and support to OUCCAS partners across the university as well as to the programs and departments involved in UC- CCC (the college-level curriculum committee for University College/Division of Academic and Student Affairs). The incumbent will follow best practices and established, published processes for both college and university levels to maintain a high level of integrity in the operation and balancing of these duties.

Duties include but are not limited to:

Office of Undergraduate Courses, Curricula, and Academic Standards

  • Agendas: Create, update, and send agendas and materials for meetings.
  • Committee Minutes: Take minutes during University Courses and Curricula and Council on Undergraduate Education meetings.
  • Committee Feedback: Support the Curriculum and Training Specialist as they send feedback after meetings to initiators and members as appropriate to notify faculty of next steps and relevant resources in a timely manner.
  • Scheduling: Schedule General Education Program (GEP) Special Topics Courses as approved by the Council on Undergraduate Education (CUE) or that have completed the Repeat process.
  • Website Maintenance: In close collaboration with the Director, maintain information on the OUCCAS website (https://oucc.dasa.ncsu.edu/) based on changes to requirements and processes at all levels as well a the internal site with resources and standard operating procedures.
  • Training: In close collaboration with the Curriculum and Instruction Specialist, assist with developing, offering, and updating training materials for the campus community.
  • Engage in research and benchmarking based on committee and office needs.
  • Assist the Director in other research and implementation of projects and initiatives.



University College Curriculum

  • Coordinate the undergraduate academic course and curriculum approval functions for the University College Courses and Curriculum Committee, including generating agendas, checking actions, and supporting the Chair of the committee and its members through information and organization.
  • Serve as either primary or backup scheduling officer for selected departments/programs within the University College, including some Exploratory Studies courses. This includes remaining up-to-date on scheduling deadlines, training, and best practices and managing communication regarding those items with programs and departments as assigned.
  • Use systems such as the Student Information Session (SIS) and Course Inventory Management (CIM) to propose/update course changes, assist departments/programs, schedule classes, and enroll students.
  • Facilitate and manage processes for graduation clearance for some certificates/minors within University College.
  • Recommend process improvements as needed and understand program purpose, mission, services, and clients.

Other Responsibilities

  • Act as an administrator for the Course Inventory Management (CIM) system, including reporting, troubleshooting, and following up on tickets with LeepFrog.
  • Serve as point of contact for campus, including committee members, faculty creating courses and curricula, and administration offices seeking information and support regarding undergraduate curricular matters. Involves answering emails in shared inbox, phone line, and possible in-person activities.
  • Respond to requests for documents and questions involving past and current committee processes and actions.
  • Review courses and curricula for compliance with University, system, accreditation, and federal policies.
  • Process changes/updates/maintenance of actions in CIM as appropriate.
  • Keep committee records and sites updated with agendas, google group rosters, etc.
  • Facilitate communication and follow-up with departments and colleges for course approval results from committees.
  • Other duties as assigned.

Qualifications


Minimum Experience/Education
Bachelor's degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.
Other Required Qualifications

  • Strong customer service skills with a focus on responsiveness and problem-solving.
  • Proficient in email communication with an ability to maintain professional correspondence.
  • Proficient in Google Suite (Docs, Sheets, Drive, Calendar, etc.).
  • Proficient in Microsoft Word and Excel for creating documents and managing data.
  • Ability to manage and prioritize tasks effectively under rotating deadlines.
  • Proficient in web and database research to gather and analyze information effectively.

Preferred Qualifications

  • Familiarity with Adobe Acrobat for document management and editing.
  • Experience with WordPress and basic web development principles.
  • Ability to co-host and manage Zoom meetings effectively.
  • Experience with CourseLeaf (specifically CIM Courses and Programs)
  • Experience with PeopleSoft Student Information System
