Supervises and monitors the day-to-day activities of office support staff equal to a minimum of 2 FTEs. Provides work direction and assigns schedules. Provides high-quality service, administrative support, clinical support, and financial administration for the daily operations of an office or medical office practice.

Education
  • High School Diploma or GED required or
  • Associate's degree business courses or administrative/secretarial training preferred
  • One year of relevant education may be substituted for one year of required work experience.
Experience
  • 3-4 years Administrative/secretarial experience required and
  • Supervisory experience preferred
Licenses and Certifications
  • No special certification, registration or license required

  • Working knowledge of assigned department's practices and procedures.

  • Contributes to the achievement and assists in the development of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations.
  • Performs a variety of complex and confidential administrative duties. Exercises considerable discretion and independent judgment and is capable of analyzing complex information requests and determining complex trends.
  • Assists in selecting, training, orienting, and assigning of department staff. Develops performance standards, evaluates performance, and conducts performance management planning. Initiates or makes recommendations for personnel actions. Maintains ongoing communication with subordinates to review programs, provide feedback, discuss new developments, and exchange information. Provides adequate training of new staff. Conducts competency and quality assurance testing of staff, ensuring compliance with standards.
  • Prepares associate work schedules and arranges for adequate coverage to maintain optimum patient service. Assures the proper accounting of hours worked and paid time off. Coordinates the daily activities of office personnel. Maintains payroll records, time and attendance, and personnel records.
  • Prepares and directs reports and statistical analysis as needed. Prepares, updates, and copies forms, reports and records on a routine basis.
  • Supervises the maintenance and preparation of records, files and other documents.
  • Responds to and resolves problems and complaints.
  • Supervises procurement activities for the department, including purchasing, receiving, storage, inventory control and utilization of equipment, materials and supplies. Responsible for the maintenance, performance, and repair of equipment, furnishings and facilities.
  • Participates in multidisciplinary quality and service improvement teams.
  • Coordinates billing procedures: Obtains credit card authorizations, collects payments for fee-for service/commercial insurance and enters payments into system. Acts as a patient advocate and handles incoming complaints and concerns related to billing and collections to attain maximum patient satisfaction. Reviews encounter forms for proper coding and copies encounter forms for patients as requested. Investigates billing discrepancies and resolves or forwards the information to appropriate personnel. Balances cash receipts and prepares daily deposits. Performs end of shift reconciliation in system.
  • Monitors, orders and maintains medical office supply inventory. Maintains equipment/environment (i.e. carts, cabinets, utility rooms, refrigerator). Discards outdated drugs from sample cabinet. Cleans, stocks, sterilizes equipment, and prepares exam rooms for patients.
  • Performs the duties of a front desk Patient Registrar: Greets patients, answers phones, triages calls, schedules appointments, registers patients, verifies patient demographic and billing information, enters procedure codes, and collects payments.- Identifies obvious emergencies and alerts the appropriate staff.
