Description

Mazak Corporation is looking for a meticulous and detail-oriented individual to join our Sales Administration team as a Customer Information and Compliance Specialist. This role is essential to ensuring the accuracy of customer information and maintaining compliance with internal processes and external regulations, particularly those related to Japan's Ministry of Economy, Trade, and Industry (METI) export control laws. The successful candidate will play a key role in supporting the sales process for capital equipment, ensuring that all documentation meets the highest standards of accuracy and compliance. This position works out of our National Technology Center located in Florence, KY.

Safety:

Customer Information Verification:

* Review and validate customer (new and existing of all countries in Mazak Corporation territory) names and details to ensure they are accurate and consistent with official Secretary of State (of US) records for the relevant jurisdiction, Mexico's Federal Tax Payer certificate (CSF), or by the best possible public record in other countries' cases.

* Ensure all customer information aligns with internal standards and is updated in the appropriate systems.

YMT/YMC-Trade-Control Compliance Coordination

* Ensure all Self-Check Sheets ('SCS') required by Yamazaki Mazak Tracing Corp's ('YMT') and Yamazaki Mazak Corporation Trade Compliance's ('YMC-TC') policies approved by MET are completed accurately and submitted on time.

* Verify that documentation adheres to YMT/YMC-TC's internal export compliance guidelines, including customer screening and transactional reviews.

* Work closely with Mazak Corporation's internal teams (at times, our distributors) to maintain compliance with YMT/YMC-TC's requirements while supporting the sales process.

* Understanding of YMT/YMC-TC's requirements for self-check processes which involve understanding of our customers' product lines, or their customers' end-product in case of our customers being job-shops).

* In case of Mexican customers, maintain close communications with Mazak Mexico's Export Compliance liaisons who collects a signed Statement of Assurance ('SOA') from each customer for each machine sold as this document clarifies the machine's end-use (we would need the SOA and SCS not be deviating from each other).

Documentation and Reporting:

* Maintain detailed records to support compliance with YMT/YMC-TC policies and internal procedures.

* Identify and address discrepancies in records or compliance documents to prevent delays in the sales process.

* Prepare periodic reports on customer verification and YMT/YMC-TC compliance for management review.

Sales Process Support:

* Collaborate with the sales team to ensure all customer-related documentation is accurate and complete before advancing sales transactions.

* Provide guidance on compliance expectations, with a focus on YMT/YMC-TC export compliance policies, to ensure smooth and efficient workflows.

* Act as a central point of contact for resolving customer information and compliance-related inquiries.

* Experience with sales administration in a capital equipment environment is desirable.

* Support end-of-month sales closing efforts.

* Make effort towards continuous improvement and continuous education as METI and US DOC export regulations change.

* Handle customer information with discretion and confidentiality.

Education/Certification:

* Bachelor's degree in business administration, sales support, or a related field, or equivalent experience.

Skills:

* Training or coursework in international trade regulations, with a focus on METI export control laws, is highly desirable.

* Experience in a compliance or administrative role, preferably in a manufacturing, industrial, or export-related field.
