About the Office of Graduate Studies

The Office of Graduate Studies at MSU Denver is the unit in Academic Affairs that serves as central advocate for campus-wide graduate programs and provides strategic leadership for growth and quality. We represent graduate education as an excellent path for those who want to strengthen their knowledge and skills in a specific discipline and specialize to become future experts, and we know that MSU Denver Graduate Programs are a great and affordable choice for those who want to study on a very diverse and welcoming campus. MSU Denver Graduate Studies supports all graduate programs to enable their students to learn more, to do more and to contribute more towards a just society and sustainable world. For support of these efforts, we are looking for a Student Admission Coordinator.

Position Summary

The Student Admission Coordinator at MSU Denver's Office of Graduate Studies oversees and facilitates the initial phases of the graduate admissions process, including receiving all incoming applications, checking their completion status, and posting all application documents on admissions platform(s) (e.g., Slate, Banner). Throughout the whole admissions process, from application to program admission, the Graduate Student Admission Coordinator serves as central point of contact for prospective graduate students.

This position requires an outstanding attitude of service, including patience and professionalism with repeated student inquiries, attention to detail with excellent planning and coordination of the required tasks, reliability with a self-driven sense of responsibility, effective communication skills and the ability for productive collaboration with all graduate programs, departments and multiple administrative units. The Student Admission Coordinator will report to the AVP for Graduate Studies.

Duties and Responsibilities

Graduate Admissions Coordination - 65%

  • Use Slate for application processing and Banner for review of applicant data, ensuring completion of data fields, including set up of initial application files for processing prospective students and notification of their application status; management of digital documentation (e.g. transcripts, test scores); and transmission of complete application files to graduate programs who will decide on the students' admission.
  • Maintain accurate processes and communicate regularly with graduate recruits, applicants and admitted students regarding the status of their applications and any possibly missing or incomplete documents. Coordination efforts are executed in partnership with graduate programs.
  • Respond to student and program inquiries in a timely manner.
  • Apply policies, regulations, and precedents to implement the graduate degree and graduate certificate program admissions process.
  • Assist graduate coordinators of individual graduate programs with program specific admission needs and the implementation of new policies and processes.
  • Serve as liaison to graduate programs and be well-versed in graduate program offerings to make accurate referrals.
  • Throughout the application process, provide in-depth consultation to prospective graduate students with consistent contact management.
  • Refer prospective students to the selected graduate programs for program specific counsel regarding requirements for various degree options.
  • Coordinate with graduate programs the processing of applicant acceptance decisions and the processing of admitted student documents in Banner and Slate, including the processing of transfer credits.

Graduate Admissions Database Management and Reporting - 15%

  • Process document files received through email and campus mail and maintain updates on student's admissions status in Slate.
  • Troubleshoot applications issues/work with university central admissions.
  • Analyze and report past and present enrollment trends to identify patterns, and evaluate in partnership with other members of MSU Denver Graduate Studies possible initiatives to respond to these trends.
  • Summarize graduate admissions applications including evaluating applicant files for academic performance, English language skills, work experience, academic scores, test scores, etc.
  • Inform admission recommendations verifying degree status from accredited institutions, transcript authenticity, residency status, etc.
  • Regularly, report on the number of newly enrolled and retained graduate students, how they learned about their selected graduate programs, the highest degree parents have earned, the need for application fee waivers and other data that are collected regularly.
  • Provide training for new graduate program coordinators on the graduate admissions processes.

Graduate Student Recruitment - 15%

  • Compose semester listings of in-person and virtual recruitment opportunities (Graduate Fairs).
  • Attend recruitment fairs, open houses and other recruitment events.

Required Qualifications

  • Bachelor's degree
  • Proficiency with Slate and Banner
  • At least one year of experience related to admissions processing

Preferred Qualifications

  • Experience with engaging with people from various national, cultural racial and ethnic backgrounds
  • Student recruitment experience
  • Qualtrics surveying

Schedule Information

  • Full-time, 40 hours per week
  • Exempt
  • Hours: Monday - Friday, 8:00 am - 5:00 pm
  • Evenings and weekend work: Occasionally for events and recruitment fairs
  • Schedule: Hybrid schedule requiring at least three days a week in the office in person
  • Travel: Some travel will be necessary for recruitment fairs and potential conference attendance

Salary for Announcement

Under Colorado law, MSU Denver is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account a variety of factors including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The salary range for this position is $45,300 - $68,000. The anticipated starting salary is $62,000.

This position is paid monthly and is eligible for MSU Denver benefits.
