DEPARTMENT OVERVIEW

The Business Resource Center (BRC) is comprised of six teams that work in tandem to create a department that provides robust client support and delivers exceptional customer service to internal and external stakeholders. This position reports to the Manager for Purchase Orders and Payment, Accounts Payable and Supplier Management Teams. The Purchase Order and Payments team is responsible for performing the following in compliance with relevant UC policies: Creation and management of purchase orders and requisitions, processing of purchase card requests, handling of employee relocations, facilitation of invoice submissions, expense reports, utilization and integration of multiple interfaces and systems to ensure seamless financial operations.

Position Summary
Ensures operational alignment with organizational objectives, policies, and internal controls, optimizes resource allocation and utilization across operational, financial, and human capital domains. Implements and refines best practices to enhance departmental efficiency and effectiveness while leveraging established frameworks and methodologies. Cultivates deep functional expertise to drive informed decision-making and problem-solving. Spearheads internal process documentation, metrics reporting and external stakeholder communication and champions policy compliance and regulatory adherence across all operational activities. Leads and mentors a high-performing team of operational professionals, fostering a culture of innovation and continuous improvement. While occasionally engaging in hands-on tasks, the primary focus is on strategic supervision and team development. Strong analytical and decision-making skills with the ability to optimize processes. Excellent communication and interpersonal abilities to foster cross-functional collaboration. Please note this is a hybrid position with three (3) days on site in Oakland, CA.

Key Responsibilities

45% Supervises and directs the work of a section of professional financial services employees who are primarily involved in performing analytical, transactional and processing functions, with responsibility for quantity and quality of work. Focus on performance, development and process improvement.

15% Ensures the accuracy, control and reporting of financial data through review, reports and system audit. Ensures adherence to policies and procedures. Responsible for distributing policy updates and notifications to team as related to position impact and function.

10% Makes ongoing recommendations and process changes to ensure effective and efficient customer service that align with division and departmental goals.

10% Ensures that the appropriate internal controls are addressed, maintained and strengthened to protect University resources. Ensure accuracy of transactions and purchase order review and approvals for compliance.

20% Involves the processing and servicing of a variety of operational, personnel and Ability to assess current metrics and create custom reports with a collection of data extracted from a variety of operating systems.

Experience
Required Qualifications

Minimum 4 years Data analysis and metric reporting, financial systems

Minimum 1 year Supervisory/team management, analytical and decision-making skills

Skills and Abilities
Required Qualifications

Strong interpersonal skills, service orientation, ability to multi-task effectively in a varied, high-volume environment, sound judgment and decision-making, reasoning, ability to develop original ideas to solve problems, and effective verbal and written communication skills. Assess and relay information to management with findings and potential resolutions.

Ability to manage changing priorities and manage staff time and efforts accordingly. Performance reviews and staff support and development. Provide guidance and performance development.

Preferred Qualifications

Proficiency in the advanced usage and functions of spreadsheet and database software such as Oracle. Ability to learn and navigate multiple systems with ability to extract and compile data and present metrics to align with service level agreements.

Thorough knowledge and understanding of internal control practices and their impact on protecting University resources. Working knowledge and experience with adhering to policy, best practices and implementing changes that support the department and vision.

The University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range shows the growth potential for this position and the pay scale is the budgeted salary or hourly range that the University reasonably expects to pay for this position.
