Primary Purpose of Organizational Unit

The Kathrine R. Everett Law Library supports the education of Carolina Law students, acts as a research partner with faculty and students, and serves the legal information needs of University students and faculty, the legal community, and the residents of North Carolina. To that end, the Law Library's mission is:

1. To research, develop and implement innovative services, instruction and creative uses of technology to access, manage and communicate knowledge;

2. To collect, organize and preserve legal resources, and provide access to information to enhance and support legal and law related research and scholarship;

3. To teach formal courses in law, legal research and law related subjects in the Law School and the University;

4. To maintain a physical environment conducive to study, research and scholarship; and

5. To foster research, scholarship, education, and leadership in law librarianship, legal research, law, and information and library science.

Position Summary

The Kathrine R. Everett Law Library at the University of North Carolina at Chapel Hill seeks to hire a full-time administrative support specialist to support the Director of the Law Library and the law librarians, working with them to develop and implement library services and collections. The selected candidate for this position will perform a variety of law library administrative and support duties including collecting and filing documents, maintaining records, monitoring and ordering supplies, and communicating with law school and campus staff regarding law library departmental needs. They will assist outside vendors and speakers with filling out required paperwork, review paperwork for accuracy and submit paperwork for processing in a timely manner. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks with collegiality, professionalism, and efficiency

The selected candidate will also serve as the law library's primary contact for student rehires, I-9 processing and background checks. Initiate HR actions for the law library including overloads, appointments, job postings and recruitments, background verifications, student & work-study hires and terminations, 1-9 processing, staff and student payroll. onboarding/offboarding for student & work-study hires. Maintain EHRA and SHRA personnel files for student and work-study hires law library.

The selected candidate will serve as the department's parking coordinator. They will assist in events coordination, including reserving parking and meeting spaces, placing catering orders, and sharing information with the public via various platforms, including updating the law school calendar. The candidate will assist with submitting and reviewing travel requests, expense reports, and reimbursement requests for the director and law librarians. The candidate will also train and supervise any Federal Work Study students hired to assist with general office needs.

This role will also be responsible for receiving, processing, and distributing mail for the law library and receiving and processing mail for the law school. The selected candidate will coordinate building and facilities-related requests for the law library. They will also coordinate with law school facilities and campus facilities partners to ensure the law library's facilities issues are handled in a timely manner.

Minimum Education and Experience Requirements

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Detail-oriented, organized, and able to work effectively and efficiently with a high degree of accuracy.

Excellent communication skills, both verbal and written.

Demonstrated problem-solving and analytical skills.

Demonstrated ability to manage multiple shifting priorities while meeting deadlines.

Demonstrated ability to establish and maintain effective and collegial working relationships with others.

Experience with program planning and administration.

Experience with calendar management.

Experience with Microsoft Office and Excel.

Experience with creating slides and presentations using PowerPoint.

Experience handling confidential and/or sensitive information.

Must be able to learn new web-based applications and software as necessary.

Preferred Qualifications, Competencies, and Experience

Experience providing administrative support in a library or academic environment. Experience with UNC campus financial, accounting, and/or HR systems.
