Job Summary
The Administrative Support Supervisor is responsible for overseeing and managing administrative support staff to ensure the smooth and efficient functioning of the office. This role involves supervising day-to-day office operations, providing administrative assistance to senior management, and ensuring the implementation of office policies and procedures. The supervisor will also be responsible for training, developing, and evaluating administrative staff performance to ensure productivity and adherence to standards.
Essential Functions
- Team Supervision:
- Supervise, lead, and provide guidance to administrative support staff.
- Assign daily tasks and ensure the timely completion of administrative duties.
- Develop and implement schedules for the team to ensure coverage of all office functions.
- Provide coaching, mentorship, and performance feedback to ensure high standards of work.
- Operational Management:
- Oversee the overall operations of administrative services, including managing office supplies, equipment, and maintenance.
- Coordinate and streamline office processes to improve efficiency and reduce redundancies.
- Ensure compliance with company policies, office procedures, and regulatory requirements.
- Administrative Assistance:
- Provide high-level administrative support to senior management, including scheduling meetings, preparing reports, and managing correspondence.
- Handle confidential and sensitive information with discretion.
- Prepare and organize documents, presentations, and other materials as requested.
- Training and Development:
- Train and onboard new administrative staff, ensuring they are familiar with office systems and procedures.
- Conduct performance evaluations, identify training needs, and recommend professional development opportunities for team members.
- Communication and Coordination:
- Act as a liaison between administrative staff and other departments to facilitate effective communication and collaboration.
- Handle inquiries and requests from internal staff, clients, and vendors, ensuring they are resolved promptly and professionally.
- Coordinate office events, meetings, and logistics as required.
- Reporting and Documentation:
- Maintain accurate records of office operations, including staff attendance, office supply inventories, and other administrative logs.
- Prepare and submit regular reports to management regarding office activities, team performance, and administrative issues.
Required/Preferred Education and Experience
- High School Diploma required
- Associate or Bachelor's Degree preferred
- At least 3-5 years of experience in administrative support, with at least 1-2 years in a supervisory/mentorship role
- Experience working directly with executives (Vice presidents or C Suite) is a must
Knowledge, Skills and Abilities
- Strong leadership and supervisory skills, with the ability to motivate and develop staff.
- Excellent organizational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong verbal and written communication skills.
- Ability to multitask, prioritize, and work under pressure.
- High attention to detail and problem-solving skills.
- Ability to handle confidential and sensitive information with integrity.
