The Associate Dean of Admissions reports to the Senior Associate Dean of Academic Affairs and oversees and administers all admissions programs for the Brody School of Medicine. This will be an At Will, 12 month position.
Duties of the position include the following:
Leadership, Admissions (80%) * Ensures that all admissions operations are in full alignment with, and support the achievement of, the
BSOM vision and mission.
* Oversees the administrative, financial, personnel and logistical support
related to the admissions process at the Brody School of Medicine
* Monitor the outreach budget and plan any necessary recruitment events including
BSOM First Look and Second Look.
* Studies national trends in applications, keeps statistical information concerning applicants and matriculants, and similar types of research
* Oversees the analysis of the qualifications of prospective students utilizing established admissions standards, guidelines, and criteria
* Develops and implements admissions policies and procedures
* Oversees strategic planning for the Office of Admissions as it relates to: correspondence with applicants, coordination of interviews, and managing the overall admissions process
* Actively participates in the interview process including: introduction of
BSOM academic programs on every interview day; interviewing applicants as needed; and being immediately available for support and leadership
* Provides oversight to the Admissions Selection Committee
* Outlines processes for screening, interviewing, and selection of
BSOM candidates and oversees the training of all individuals involved in these stages of the admissions process
* Collaborates with the
SADAA to select faculty to participate in all stages of the admissions process
* Tracks faculty participation in the admissions process as requested by the
SADAA and reports this activity to the
SADAA regularly in order to assess compliance with participation standards
* Provides advice and counsel to unsuccessful applicants to medical school
* Coordinates the use of the national medical school application in conjunction with the American Medical College Application Service (
AMCAS)
* Comply with the AAMC's applicant and acceptance protocols often referred to as "Traffic Rules"
* Responsible for maintaining and updating the Medical School Admission Requirements (
MSAR) for the
BSOM on the
AAMC website so that it is current and accurate
* Responsible for providing the
AAMC with any requested information regarding the
BSOM admissions process and assuring that it is current and accurate
* Researches and oversees data and reports for applicable local, state, and national agencies on admissions activity, enrollment
* Develops outreach and recruitment strategies and program development
* Serves as the liaison between collegiate pre-medical programs, Pre-Medical/Pre-Health Professions Advisors, and medical school admissions officers at other institutions
* Makes regular recruiting trips to NC colleges and universities - prioritizing the public universities in the University of North Carolina (
UNC) System - who will receive at least annual visits and communication.
* Develop effective internal controls designed to promote compliance with accreditation agency requirements regarding student selection, academic and learning environments, and other related
LCME standards.
* Lead efforts and collaborates with internal and external partners to recruit potential
BSOM students that will effectively serve the eastern NC region and state of NC.
* Other duties as assigned
Leadership, Pathway and Scholarship Programs (20%) * Represents
BSOM at local, regional, and national events and conferences as required and serves as an ambassador from
BSOM and represents its values and mission.
* Coordinates with the Director of Community Outreach and Education Pathways Programs and the other offices that comprise the Department of Academic Affairs to create and administer the application process for
BSOM pathway pre-med programs (e.g. Summer Program for Future Doctors and Early Assurance (EA) Scholars Program)
* Serves as the primary liaison for
ECU Honors College and other institutions who participate in the EA program and specifically provides the following: any changes to the qualifications and requirements for students to apply, participate, and maintain their status in the EA program; bring any candidates from EA partner schools to the admission committee for consideration; provide subsequent communication with any accepted EA applicants (including acceptance letters; participate in any EA student programmatic support provided by
BSOM; and assure any accepted EA students complete matriculation requirements in order to maintain their accepted status.
* Coordinates with the Brody Scholars Select Committee regarding; the identification of an applicant pool; the selection of the Brody Scholars from this pool; and policies and procedures regarding the Brody Scholars Program
* Actively participate in the Brody Scholars events and programs
* Serves as a ex-officio member for any
ECU or
BSOM committee as requested or required.
* Attend all
BSOM Undergraduate Medical Education Coordination meetings and provide consistent collaboration
