Summary:

The Project Assistant will provide administrative and technical support to Project Managers on assigned capital projects.

Essential functions (responsibilities, tasks, supervisory needs):

  • Schedules and prepares for meetings, provides information in advance to participants including list of projects for review, project status, spend to date and relevant materials.
  • Facilitates Vendor set up and manages vendor contracts including negotiating terms.
  • Compiles project scopes, budgets, and schedules for each assigned project, sets up cost accounts and provides all project information to project manager.
  • Prepares and provides slide decks, meeting notes, project status reports and other requested information.
  • Prepares and facilitates Requests for Proposals (RFP's), organizes submittals, and prepares bid analyses as directed.
  • Scans plans and documents and organizes into project files.
  • Reviews and submits invoices, codes to appropriate project.
  • Obtains permits and licenses as requested.
  • Reviewing work agreements, submitting invoices, and ensuring payment.
  • Coordinates project materials and supply lists and assists with procurement as needed.
  • Prepares and maintains correspondence and communication as requested.
  • Acquires knowledge of Trident's Environmental and Safety Policies by completing required training programs and performing designated work activities in accordance with training and procedures/work instructions
  • Notifies designated personnel of any environmental or safety incidents or risks not previously documented, in accordance with Environmental Awareness and/or safety trainings.

This is a nonexempt position with an hourly rate of $25.50 to $35.50.

Minimum Requirements

Required Qualifications (education, years of experience, KSAs):

  • 2 years of experience providing administrative or clerical support, preferably in a manufacturing or engineering setting.
  • Proficient in MS office. Understanding and ability to track and maintain financial data.

Preferred education and experience:

  • Experience in Alaska fisheries
  • Bachelor's degree in business or related field
  • Experience working with or managing outside contractors.

Work environment (includes travel/on-call):

This hybrid position will be a combination of remote and onsite at the Trident Support Center office in the Ballard neighborhood of Seattle, WA. Our hybrid work environment includes remote work on Monday and Friday and in-office in the Support Center on Tuesday, Wednesday, and Thursday. This role may require travel to remote Alaska, up to 10%.

In-office time takes place in a typical office environment: temperature controlled with adequate lighting and moderate noise. While remote, employees must provide appropriate home office space.

Physical demands:

While performing the duties of this job, the employee is regularly required to stand; walk; use hands to finger, handle, or feel and reach with hands and arms.
