Position Description

Designs, implements and manages an assigned program. Typical duties can include but are not limited to: Identify funding opportunities, conduct program assessments, prepare program reports, oversee and manage program marketing and communications, manage program databases, supervise program staff, plan research activities, coordinate program events, participate in strategic planning, manage program files, establish program standards and objectives, direct logistical activities to promote the success of programs, develop and implement project timelines and ensures deadlines are met, oversee program budget, ensure goals and objectives of grants are met, assists in proposal writing, comply and analyze program statistics.

Major/Essential Functions


  • Provide administrative support for the Vice Provost, Director, Admin & Finance for AISS, Assistant Vice Provosts, and as needed other areas within AISS on assigned tasks. Including but not limited to: scheduling of appointments, travel arrangements, work order requests, coordinating AISS wide meetings, assist with hiring committees, distribution and development of communication, etc.
  • Assisting Vice Provost, Director, Admin & Finance for AISS, Assistant Vice Provosts, and AISS Directors in the collection of data/information from AISS departments and creation of summary reports. Also, assist in supporting the Directors in programs throughout AISS as needed.
  • Participate in and facilitate education and outreach efforts of Academic Innovation and Student Success including but not limited to tabling, presentations, programs, events.
  • Serve on university committees as a representative for AISS, collect information and share with AISS departments as needed, act on behalf of AISS as appropriate.
  • Coordinates and Maintains general front office duties and activities to assist the Vice Provost, Director of Finance & Administration and AVPs for AISS (i.e. correspondence, inventory, responsible for front office management).
  • Communicate with all stakeholders to answer questions and disseminate or explain information.
  • First point of contact for and work closely with the Director of Finance & Administration for AISS and Vice Provost on initiatives for program management for AISS.
  • Assist Vice Provost and Director of Finance & Administration with high priority deadlines and projects (confidential), event planning, assist in managing all financial for AISS. Including, Travel, Purchase Orders, Pcard reconciliation, ePafs, Post positions in Kenexa, etc.
  • Read, analyze incoming memos, submissions, reports to determine their significance & plan their distribution. Including documents of confidential nature.
  • Prepare/review reports, memos, letters, and other documents. Review reports submitted by divisional leadership to recommend/suggest changes. (i.e. Food Forms, reclassifications, epm updates, etc.) (Program development recommendations within AISS).
  • Other duties as assigned as requested by the Vice Provost and Director of Finance & Administration.

Required Qualifications

Bachelor's degree and four years of experience developing or managing programs or projects. Additional job related experience may be substituted for the required education on a year-for-year basis.
