Overview

Quartz is seeking an action-oriented, proactive problem solver to join our team as a Chief Executive Assistant (CEA) and support our CEO. This role will serve as a trusted liaison with the Board of Directors, leadership, and stakeholders ensuring smooth communication, operational efficiency, and strategic alignment.

Responsibilities

Executive Support:

  • Manage an active executive calendar: schedule meetings, arrange travel, ensure licensure compliance - proactively keep the President & CEO well informed of upcoming commitments, deadlines, and priorities
  • Reconcile credit card expenses, allocate to budgets, and create expense reports
  • Prepare meeting materials, take minutes, and distribute to appropriate parties in a timely manner
  • Anticipate the CEO's needs to enhance efficiency and effectiveness
  • Communicate directly on behalf of the CEO with internal and external stakeholders
  • Welcome visitors, screen correspondence, and represent the CEO professionally
  • Facilitate smooth communication between the CEO's office, external parties, and internal departments
  • Serve as a "gatekeeper" to optimize access to the CEO's time

Board Support:

  • Communicate with shareholders, the Board of Directors, and committees on Board matters
  • Schedule and coordinate Board meetings - book reservations, catering, travel, and other logistics, prepare agendas, and distribute materials
  • Manage the Quartz board portal to ensure accuracy and protocol adherence


Qualifications

  • 5+ years of experience support C-level executives in a fast-paced environment, preferably with prior experience supporting President & CEO-level executives
  • Project management skills - including the ability to proactively make decisions and manage multiple priorities, knowing when further approval should be sought, and effectively delegate tasks to others to effectively accomplish complex tasks in a timely manner
  • Proficiency in Microsoft Suite of products and Adobe
  • A strategic thinker who connects the dots and offers actionable ideas and insights
  • Demonstrates emotional intelligence and diplomacy in all interactions

Additionally, we are seeking individuals who possess the following skills:

  • Exemplary organizational skills and attention to detail, with ability to prioritize and manage a demanding workload involving multiple tasks, responsibilities and deadlines with proactive follow-through and minimal supervision under pressure
  • Strong calendar management skills, including the coordination of complex board, executive and leadership meetings
  • Strong interpersonal and communication skills including ability to handle difficult or sensitive information in a tactful and confidential manner
  • Excellent judgment and decision-making skills, along with high character and personal integrity
  • Proven ability to handle confidential information with discretion, be adaptable to various demands, and demonstrate the highest level of customer/client service and response.

This position will work regularly in-person at our office located in Madison, WI.
