Hillenbrand is excited to welcome a Legal Executive Assistant to our Corporate Legal team. In this pivotal role, you will provide vital administrative support to the Legal leadership team. As Legal Executive Assistant you will play a key role in ensuring the smooth operation of the legal department. You'll possess exceptional administrative and organizational abilities, thrive in a collaborative team environment, and can effectively balance multiple priorities. This position follows our hybrid work policy, requiring in-office attendance at Hillenbrand's global headquarters in Batesville, Indiana, two days per week. Work You'll Do: Perform general administrative tasks including:
Arrange domestic and international travel working with an external travel agency and online travel system (Concur), creating travel itineraries and handling changes as requested, and manage any necessary travel documents (such as visas and passports). Manage calendars including scheduling and organizing of all meetings. Organize onsite meetings including ordering food, meeting room reservations and meeting room set up. Complete special projects and other related duties as required and assigned. Maintain organized files and records ensuring easy access to information when needed. Review and prioritize incoming mail/email requests, and legal notices to determine urgency and transfer to appropriate individuals. Assist on litigation matters, including but not limited to, maintaining dockets, case summaries/reports, and files; preparation of legal holds; and collection of corporate records during discovery phase. Assist in responding to third-party subpoenas and requests for information, including assisting with bates labeling, redaction and filing. Assist with management of and organization of contract documents.
Team: You will report directly to Hillenbrand's Senior Vice President, General Counsel & Secretary, and also support each of his direct reports. Basic Qualifications:
A minimum of 3 years of executive administrative experience in a corporate setting with a A.S degree or higher. Candidates without an Associate's Degree or higher, may be considered. Proven ability to exercise sound judgment in various situations and handle confidential matters with the utmost discretion. Strong written and verbal communication skills, including proficiency in proofreading and editing documents. Exceptional organizational skills with a keen attention to detail, enabling effective management of files, records, and calendars. Ability to prioritize conflicting needs, manage multiple tasks simultaneously, and respond proactively to urgent requests. Strong interpersonal skills with the ability to work cooperatively in a team environment and build relationships with a diverse mix of employees and external vendors. Experience in arranging domestic and international travel, including managing itineraries and travel documents. Demonstrated ability to suggest and implement new processes and procedures to enhance workflow efficiency. Flexibility to fill in support gaps as needed and adapt to changing priorities in a fast-paced environment.
