JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University is seeking a full-time Student Services Assistant to support the efficient operation of the World Campus Online Asynchronous Education Doctorate Program. This role is integral to ensuring the seamless functioning of administrative processes and fostering proactive student engagement within a dynamic, cutting-edge online learning environment. The position serves as the primary administrative and student support assistant for the program director, faculty, graduate assistants, and students.

The position currently has 130 enrolled students and is projected to grow to 210 students over the next 12 months. This role requires a balance of administrative expertise, student-focused support, and effective communication across departments within the College of Education, World Campus and the University. The position is remote/hybrid, with on-campus requirements during the summer and approximately 8-12 days during the fall and spring semesters.

Key Responsibilities

Administrative Support

  • Respond to inquiries about admissions, registration, and program-related information.

  • Facilitate communication among key stakeholders regarding program requirements, policies, and procedures.

  • Establish and maintain a tracking system to monitor student progress.

  • Collaborate with the program director and faculty to organize course schedules, curriculum updates, academic events, and reservations.

  • Maintain an online system for important program documents.

  • Perform routine administrative tasks, including answering emails, proofreading, and drafting correspondence.

Student Support

  • Provide direct assistance to up to 210 doctoral students, offering clear guidance on program requirements and resources.

  • Coordinate communication between students, faculty, and program staff to resolve issues and maintain program continuity.

  • Foster an inclusive and supportive environment by addressing diverse student needs and promoting equitable access to resources.

  • Attend all student program meetings, providing Zoom support and Q&A facilitation.

  • Collaborate with the program director and faculty to develop and schedule student professional development opportunities.

Event Planning and Coordination

Summer Summit/Conferences

  • Coordinate logistics for on-campus residency requirement summer summit(s), including travel, lodging, and meal arrangements for up to 45 domestic and international students.

  • Manage visa processes and documentation for international attendees, ensuring compliance with regulations.

  • Oversee event planning, including scheduling, room reservations, event space setup, and technology requirements for workshops and presentations.

  • Collaborate with faculty, guest speakers, and vendors to deliver a seamless and engaging week-long on-campus experience.

  • Provide pre-summit guidance to students on travel, accommodations, and campus navigation.

  • Ensure inclusive experiences by addressing dietary restrictions, physical accessibility, and cultural considerations.

Web and Social Media Management

  • Maintain and update program websites and social media platforms, ensuring accurate and engaging communication about program news, events, and achievements.

  • Oversee the student bio submission process each fall and spring, coordinating with marketing to update the College of Education website.

  • Manage program social media accounts and draft new web content in consultation with the program director.

  • Develop and maintain video resources (using Kaltura or similar platforms) to enhance student engagement and support asynchronous learning.

  • Ensure accessibility of all web materials and documents.

Graduation Coordination

  • Coordinate capstone defense procedures, including communication with student/faculty committees, scheduling defenses, and managing the submission of projects to Penn State Archives.

  • Guide students through graduation requirements, ensuring timely and accurate completion of all steps.

  • Administer and analyze post-graduation surveys to provide data-driven insights that enhance program outcomes and track alumni engagement.

As assigned--Perform additional duties and responsibilities as required to support program operations and student success.

Qualifications: This position typically requires a High School Diploma or General Equivalency Diploma plus two years of related experience, or an equivalent combination of education and experience. The successful candidate will have strong organizational, administrative, and social media skills; excellent communication and interpersonal skills; proficiency in Microsoft Office Suite. The successful candidate will demonstrate attention to detail and the ability to manage multiple tasks efficiently. The position is a hybrid position with the ability to work remotely with some required in person attendance at the University Park campus.

This is a term appointment, funded for one year from date of hire, with an excellent possibility of refunding.

This position will require the successful completion of standard background checks.

    The salary range for this position, including all possible grades is:

    $38,300.00 - $55,500.00
