Position Summary

The Physician Assistant Program in the Department of Family and Community Medicine is excited to announce that we are seeking a temporary Administrative Assistant III. This individual will provide support for our faculty and staff team in meeting the Program's mission of educating PA students to become exemplary providers of primary care medicine with a special focus on the medically underserved and rural populations of New Mexico. This position will be responsible for a wide variety of responsibilities in our dynamic, fast-paced office and is ideal for someone who enjoys working on diverse administrative, fiscal, organizational, and planning activities.

Duties and Responsibilities:

  • Performs and coordinates a wide range of administrative operations such as answering phones, greeting visitors, and scheduling meetings within the PA Program. Interacts professionally with and serves as central point of contact to resolve problems for faculty, staff, students, prospective students, alumni, and community partners. Works with program leadership to resolve issues in support of program's mission and goals.
  • Assists staff and faculty with program events, including advance planning and hands-on support for events such as the White Coat Ceremony, Orientation, and other events.
  • Provides support for didactic courses. Reserves classrooms. Proctors exams. Manages any approved accommodations during exams.
  • Manages calendars for all classes and program.
  • Maintains documentation for program meetings. Prepares agendas and minutes and distributes to group. Ensures all related documentation is stored appropriately.
  • Maintains student and other program files in accordance with record maintenance guidelines.
  • Coordinates various services including copying, shredding, water, etc.
  • Submits facilities work orders.
  • Manages inventory of and coordinates ordering of supplies and equipment for program.
  • May complete purchasing for travel, conferences, memberships, student platforms, food, awards, etc.
  • Other duties as assigned.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.


Preferred Qualifications

Preferred Qualifications:

  • Administrative experience in an academic program
  • Knowledge of platforms used at UNM, such as Smartsheet, Banner, Lobo Mart, Chrome River, MyReports, Teams, etc.
  • Experience with PCard and knowledge of purchasing and accounts payable policies and procedures
  • Critical thinking skills as demonstrated by use of independent judgment to solve problems
  • Excellent communication skills
  • Strong organizational skills
  • Self-starter, process-oriented team player
  • Flexible and willing to assist with program activities and other duties outside of primary responsibilities
