Events Coordinator, Climate Jobs Institute (NYC)
APPLY This position is located in New York, NY, within the ILR School located at 570 Lexington Avenue. What we are seeking: As a critical member of the operations team, the Events Coordinator will proactively support the Climate Jobs Institute in furthering its research, training, and education mission. The Events Coordinator will work closely with the Institute's directors, adjunct faculty, support specialists, and administrative staff, including the ILR School's Marketing and Communications team, to plan, organize, schedule, and coordinate numerous multi-day conferences, workshops, book discussions, site visits, retreats, and other activities for the Climate Jobs Institute. The candidate will possess a strong sense of self-awareness and a good attitude and be a leader with high-level organizational skills, attention to detail, time management, and excellent presentation, oral and written communication skills. A person in this role must be able to contribute to multiple projects and events in various stages of development and execution. The successful candidate will also be team-oriented, possess tact, grace under pressure, and demonstrate discretion at the highest level. Event planning occurs year-round, with most events happening during the academic year, with some being held in the summer. Event duties consist of all pre-event arrangements, including but not limited to developing event planning timelines and communicating to teams and stakeholders, developing and adhering to event budgets, negotiating contracts that adhere to university policies (e.g., catering, lodging, meeting spaces, travel, speaker arrangements, entertainment), working with school communications and marketing team on all marketing and promotional materials, and adhering to production timelines for successful execution of events. During events, the Events Coordinator will be responsible for all aspects of event execution and outcome, including handling attendees, sponsors, speakers, vendors, and staff issues promptly and with discretion. After each event, the Events Coordinator will prepare a post-event document that includes the final budget/reconciliation, a summary of event details, a description of all aspects of the process, and recommendations for future improvements. Some travel is required, as well as irregular hours during events. The Events Coordinator will also provide assistance, as needed and requested, for other operational areas within the Climate Jobs Institute administrative team. They will ensure the activity is well-documented and meets university and the ILR School policies and guidelines. This position contributes to achieving successful execution of program initiatives and demands the ability to manage multiple tasks, prioritize work on simultaneous projects, and work successfully under pressure with minimal supervision at a variety of functions within a fast-paced team environment. This is a term, full-time, bargaining unit position that falls under the NYC ILR Extension exempt CWA contract. Initial appointment through June 30, 2027, position may be reappointed with approval based on available funding and work.
