Job Description

The Keysight Labs VP, a member of the Keysight CEO staff, is looking for a can-do, resourceful, clear-thinking, and highly organized administrative professional. You will be the "go-to" person for the administration of executive operations, including executive support and business management systems. A successful candidate may be an experienced EA eager to use their project management skills to expand the scope of their contributions, or might come from a communications or other specialized background with superb organizational and critical thinking skills, aiming to broaden their contributions. This is an on-site position located in Santa Rosa, CA.

Responsibilities

  • General administrative support: meeting arrangements and calendar management, travel arrangements, spreadsheet tracking, purchase requisition generation and approvals, interface with web-based enterprise (HR, Finance, etc.) and ERP applications, ensure smooth Teams logistics for large meetings (e.g. town halls). Maintain org charts.
  • Act as the leader of the admin team throughout the global, 850-employee organization. Includes leading that team to arrange and execute employee events and team-building activities.
  • Re-engineer general administrative support to be as efficient as possible - create templates and consistent processes that enable rigor with minimal overhead.
  • Perform confidential administrative duties using knowledge of company and organization policies and practices.
  • Curate executive reference file for strategic plans and operational execution oversight.
  • Continually assess business process effectiveness, identify gaps and potential, and drive or lead improvement projects.

  • Ability to support or lead varied projects based on high-level objectives.

Qualifications

This is a critical executive support role, requiring adaptability, professional demeanor and effective communication.

  • 3+ years directly related experience in an executive support role
  • Associate or bachelor's degree; specialized training/certification is a plus
  • Excellent judgment and discretion is an absolute necessity
  • Strong office application skills, including MS Office suite business applications. Must be able to create and use documents of moderate complexity in Excel, PowerPoint, and Word. Other "table-stakes" tools skills include Teams, Zoom, Sharepoint, etc. Increasing leverage of AI tools such as MS Copilot and ChatGPT is expected.
  • Ability to work independently as well as part of a team
  • Excellent organization and time management skills
  • Excellent interpersonal skills and a pleasant, positive demeanor
  • Ability to exercise good judgment/decision making when necessary
  • Ability to prioritize and take initiative, and manage multiple activity streams
  • Flexibility to work occasional overtime or different hours as required
  • Attention to detail and follow-through
  • A background in project management or related role is a plus
  • Poise, presence, personality and initiative to be a top-notch, right-hand professional

The level of role will be based on applicable experience, education and skills; Most offers will be between the minimum and the midpoint of the Salary Range listed below.

CA pay range: MIN $75,210 - MAX $125,340
