Job Summary

The Talent Development Program Assistant provides essential administrative and operational support to the Talent Development team at Northwestern University, with a special emphasis on supporting Talent Management, Organization Development, and Director-led initiatives. This role coordinates administrative processes, manages program logistics, and supports calendar, budgeting, and HR functions for the team. The Program Assistant is responsible for organizing and maintaining departmental workflows, enhancing efficiencies, and ensuring smooth execution of key operational activities.

Essential Duties and Responsibilities

  • Administrative and Project Support: Coordinates scheduling, logistics, and documentation for the Talent Development team's meetings, events, and workshops, supporting smooth program delivery.
  • Program Logistics and Event Coordination: Supports event and program logistics, including registration, materials, and venue setup to ensure seamless participant experiences.
  • Operational Support for Talent Management and Organization Development Initiatives: Assists with special projects, such as employee engagement events, recognition events, and talent management activities. Provides logistical and documentation support to the Talent Management Program manager and Organization Development consultant.
  • Budget and Financial Tracking: Assists with budget management by processing reimbursements, processing accounts payable and receivable transactions, tracking expenses, and preparing regular financial reports.
  • Communications and Website Updates: Maintains the department's website and drafts communication materials, ensuring clarity and alignment with program objectives.
  • Operational Improvements and Documentation: Identifies opportunities for process improvements and helps document standard operating procedures.

Minimum Qualifications

  • Education: Bachelor's degree in business administration, human resources, communications, or a related field, or equivalent experience.
  • Experience: Minimum 3 years of experience in administrative support, preferably in HR, talent development, or related fields, with a focus on project coordination, budgeting, and event planning.
  • Skills:
    • Strong organizational and project management skills, with the ability to manage multiple priorities.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with Learning Management Systems (LMS) and/or HR systems.
    • Excellent written and verbal communication skills, with the ability to draft clear, accurate, and professional communications.
    • Customer service mindset with strong problem-solving skills and adaptability.

Preferred Qualifications

  • Education: Bachelor's degree in business administration, human resources, communications, or a related field, or equivalent experience.
  • Experience: Experience supporting a human resources, talent development, or organizational development department, preferably in higher education.
  • Skills:
    • Experience with online content management or web-editing tools for website maintenance.
    • Ability to analyze data and generate reports for operational improvements and strategic planning.
    • High degree of initiative, resourcefulness, and attention to detail, particularly in managing confidential or sensitive information.

Target hiring range for this position will be between $45,000 - $55,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
