SUMMARY: Responsible to the Finance Manager for preparation of information for the computerized general ledger system; obtain and analyze required information, maintain subsidiary ledgers and reconciliations, prepare reports, budgets and budget comparisons, and maintain backup information. Community Action Inc, of Rock & Walworth Counties is a multi-level funding sourced organization. This individual will regularly work with various federal and state funding sources. Major responsibilities include allocating expenses, reconciling accounts and preparing reports for management and funding sources. The individual will exercise independent judgment, discretion and initiative in daily work activities while adhering to and supporting agency policies and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES

PROGRAM OPERATIONS:

  • Integrate and coordinate the assigned duties of the accounting cycle (A/P, A/R, journal entries, payroll, cash receipts, etc.) with other agency staff resulting in timely and accurate financial reports. Obtain and analyze required information. Develop and coordinate work procedures to attain the desired results applying generally accepted accounting principals and agency practices.
  • Code timesheets and timecards, verify accuracy of payroll labor distribution
  • Prepare, process, and maintain records of payroll deductions and personal time used, along with other spreadsheets and documents related to payroll
  • Record and review cash receipts, enter and scan into fiscal databases.


  • Travel outside of the office to make bank deposits and run other errands as needed.
  • Review invoices, code accounts and process accounts payable


  • Prepare journal entries, maintain general ledger, and reconcile asset and liability accounts
  • Prepare and maintain all documentation necessary for accounting transactions and reports
  • Prepare accurate and timely reports required by funding sources, management, and the Board of Directors
  • Process billing, including backup information, for inter-department transactions and third-party receivables
  • Assist in financial and compliance audit and monitoring visits
  • Assist in preparing budgets/budget modifications for programs and funding proposals
  • Exercise initiative, discretion and independent judgment in accomplishing assigned duties
  • Complete related work as assigned within the scope of responsibility and skill required for the job

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION AND EXPERIENCE:

  • College degree in accounting or a related field and at least 3 years' work experience in full cycle accounting, preferably non-profit; or
  • Associate degree in accounting or a related field and at least 4 years' work experience in full cycle accounting, preferably non-profit; or
  • At least 6 years of progressively more responsible experience in comparable positions, or work considered being directly preparatory to this position, with the expectation of considerable job maturity and competence upon entry into the position. Three years of this experience must be in full cycle non-profit accounting of a non-profit organization of similar scope and size.



LANGUAGE SKILLS:

  • Ability to read, analyze and interpret documents such as policy and procedure manuals, professional journals, technical procedures or government regulations and contracts
  • Ability to write reports, business correspondence and procedures
  • Ability to effectively present information and respond to questions from management staff, board of directors or funding sources.



MATHEMATICAL SKILLS:

  • Ability to translate numbers into required reports.
  • The ability to understand and implement budget and comprehensive financial reports.
  • Keen understanding of non-profit accounting procedures and cost allocation.



REASONING ABILITY:

  • Ability to visualize end results of a single multi-faceted project, develop procedures to attain results within broad guidelines, apply policies and practices to resolve problems independently, and detect cases for referral.
  • Ability to use analysis and judgment in the adaptation and interpretation of established practices and procedures to meet problems and situations within a defined role.
  • The ability to assess complex participant needs and concerns and to work with staff to develop and implement service delivery strategies.
  • The ability to prioritize within an environment that includes multiple and competing deadlines.
