Job Summary:

The Office of the Vice Chancellor for Finance and Administration (VCFA) is hiring an Executive Assistant II. The VCFA is committed to empowering our employees and developing a culture that allows our community to flourish (https://finadmin.wisc.edu).

Reporting to the Chief of Staff in the Office of the Vice Chancellor for Finance and Administration (VCFA), the Executive Assistant II is responsible for supporting the Vice Chancellor for Finance & Administration (VCFA) and the Chief of Staff to the VCFA. This includes, but is not limited to scheduling meetings, arranging travel, auditing expenditures, managing administrative tasks, planning VFCA led events and supervising two staff members within the office.

This position serves as support for all VCFA led searches and manages several processes on behalf of the Vice Chancellor.


Responsibilities:
Provides administrative support for a leadership position with institutional influence and oversight (Chancellor, Vice Chancellor, Associate Vice Chancellor, and/or Provost, as defined by the institution). Utilizes discretion and operates independently with minimal supervision.

  • 40% Schedules logistics for meetings, conferences, and travel and organizes schedules for a leadership position with institution wide authority
  • 5% Compiles, screens, and evaluates correspondence and reports and recommends actions
  • 5% Develops and facilitates communications of varying complexity between various internal and external stakeholders
  • 15% Manages the organization, auditing, security, and confidentiality of records and files
  • 15% Monitors budgets and reviews and approves expenditures
  • 15% Supervises and directs unit staff
  • 5% Onboarding Manager for all VCFA staff in Bascom Hall

Qualifications:

Required:
Minimum of 3 years supporting a director or high level administrator
Minimum of 1 year supervision experience
Experience arranging travel for an administrator
Fluent in MS Office

Preferred:
Excellent Communication skills
Experience working independently
Demonstrated experience working in a confidential setting with a high degree of discretion

Full Time: 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

ANNUAL (12 months)
Well qualified applicants can expect to earn between $56,112 and $92,000, with final salary based on experience and qualifications.
