Marketing Operations Project Coordinator

The Marketing Operations Project Coordinator supports Enterprise Marketing operations, working closely with the Marketing Operations Manager to identify and manage small to medium operational projects. This role also supports Creative Project Managers, executing internal requests from marketers and business partners, and in both cases ensures on-target, on-time, on-budget delivery of solutions.

JOB RESPONSIBILITIES

Coordinates Marketing Operations and Internal Marketing Agency projects from discovery to execution and provides time estimates. Provides project management and ensures alignment with overall Enterprise Marketing objectives.

  • Develops, manages and leads mainly small and some medium, inter-departmental marketing projects from kickoff to execution.

  • Partners with project sponsor and marketing teams (Marketing Operations and Technology, Corporate Communications, Solutions Marketing, Internal Marketing Agency, Brand, etc.) to identify requirements, build project plans, prioritize projects and coordinate resources within marketing operations system of record (Workfront).

  • Identifies, initiates and monitors project deliverables using repeatable processes, including milestones, roles/responsibilities, timelines and required tasks. Balances considerations of scope, quality, time and cost.

  • Drives projects to completion, prepares summaries and completes project closure activities.

  • Reviews project change requests and responds with schedule/cost impacts along with alternatives. Notifies leadership as appropriate.

  • Appropriately escalates project issues and risks to the relevant team member(s) or leader(s) as needed.

  • Reviews project results and metrics, identifying future improvement opportunities.

Supports Enterprise Marketing's ways of working.

  • Maintains understanding of the ways each department within Enterprise Marketing operates as well as marketing's overall operational framework and end-to-end process.

  • Supports creating and updating marketing operations processes, assisting with testing and QA for marketing technology and operational implementations.

  • Serves as the primary owner for maintaining and organizing marketing operations-related documentation and templates, including Workfront project templates.

  • Stays current on marketing operations technology (e.g., Microsoft 365, AEM-DAM, Adobe Workfront) and identifies areas of learning or impact for Enterprise Marketing teams.

  • Coordinates distribution of regular Marketing Operations Newsletter and communicates marketing operations application updates, including impacts to teams and processes.

  • Coordinates standing operational meetings - such as cross-functional Process Team and DAM governance meetings - including scheduling, identifying agenda items (i.e., process updates, questions, marketing technology enhancements, challenges) as well as documenting ongoing issues and tracking progress toward solutions.

  • Supports Enterprise Marketing operational reporting needs.

Plays a relationship management role while helping maximize team effectiveness and efficiency.

  • Develops and maintains solid working relationships while encouraging collaboration across teams.

  • Leverages marketing knowledge and understanding of marketing operations to facilitate effective communication between teams.

  • Demonstrates diplomacy, manages expectations and maintains a strong focus on the project sponsor, representing their needs and concerns as appropriate.

  • Manages expectations with project sponsor and inter-departmental teams, leading checkpoint meetings to review progress, issues, requirements and action items.

  • Establishes and provides periodic status reports to relevant team members, vendors, stakeholders and leaders on project progress. This may include project risks and issues, forecasts vs. budget, and future tasks.

  • Identifies and implements process improvements as appropriate and using change management best practices.

Performs related activities as directed; manages personal self-development to prepare for new responsibilities and challenges in a changing environment.

  • Identifies and participates in training or other opportunities to learn about and share applicable best practices and tools.

SKILLS/QUALIFICATIONS

  • Project management knowledge for marketing operations initiatives and marketing assets (print, video, email, web, etc.).

  • Skills to manage small to medium projects to successful outcomes within tight deadlines.

  • Self-motivated and independent with solid analytical, problem solving and decision-making skills to identify and assess potential solutions to business requirements and prepare cost-benefit analyses.

  • Communication skills to effectively interact with leaders and associates across all areas of the organization. Written communication skills to clearly and concisely document business requirements, test plans and communicate results.

  • Ability to adapt to changing project priorities and meet deadlines in a fast-paced environment, where speed-to-market is often critical.

  • Three years of professional-level experience (or education + experience equivalent) in a project management role on a marketing team or creative agency.

PREFERRED QUALIFICATIONS

  • Microsoft 365, Copilot, Adobe Workfront and Adobe AEM-DAM experience.

  • Process and application governance experience.

  • Process improvement and change management experience.

  • Project management experience using Workfront (marketing operations system).

  • Financial services industry knowledge and broad understanding of Securian products, markets and operations.

The estimated base pay range for this job is:

$45,500.00 - $84,500.00

Pay may vary depending on job-related factors and individual experience, skills, knowledge, etc. More information on base pay and incentive pay (if applicable) can be discussed with a with a member of the Securian Financial Talent Acquisition team.
