Summary

Performs reception duties in the employee health office for employees who visit the office making them feel welcome. Functions as a team member and schedules visits or meetings, processes medical record requests, assists with record maintenance in On Base and phone triage. Notifies clinical staff of employee arrival; receives, date stamps, and distributes mail daily; triages incoming phone calls; and scans documents into employee medical file in On Base.

Job Duties

  • Greets colleagues who visit Employee Health making them feel welcome.
  • Coordinates incoming phone calls and sends to appropriate staff member, removes and sorts faxed documents, and manages walk-in activity.
  • Schedules meetings and appointments timely as requested by the Administrator or Director.
  • Reviews and processes requests for employee medical records weekly and meets the turn around time for all requests.
  • Assists with employee medical file chart management.
  • Coordinates with the ED leaders that adequate BBF packets are available and assists with assembly of these packets
  • Participates in all phases of the performance improvement process/quality assurance.
  • Copies and forwards records to physician consultants in response to subpoenas or workers compensation legal counsel.

Minimum Qualifications
  • High School Diploma/GED
  • 1 year of experience in an office setting in a healthcare environment and
  • 1 year of experience in keyboarding, PC applications, scanning medical records, and phone and people skills and
  • 1 year of experience processing requests for medical records.
  • Ability to interact professionally with all levels of organization.
  • Ability to learn and use various department-specific software systems.
  • Accuracy in data entry, data collection, and filing/scanning procedures.
  • Ability to work with interruptions and adapt to changing priorities.
  • Must be able to maintain confidentiality.

Preferred Qualifications
  • Post-high school graduate courses in medical records, customer service, and/or office management.

Physical Demands

Lift and carry 7 lbs., continuous sitting >67%, frequent keyboard use/repetitive motion, frequent fine motor activity/wrist position deviation.
