Summary:

The Sr. Specialist works with Engineering and Construction (E&C) Engineers, Project Managers, and Construction Managers to ensure project documentation is traceable, verifiable, and complete in the Company's Document Management System. The Sr. Specialist will also perform quality audits during and after construction to verify the required technical, engineering, and construction records are properly collected and uploaded to the Construction Project Document Management System in accordance with the Company Engineering Standards. At times the Sr. Specialist may work with Project Managers to assist with project documentation, tracking, metrics, forecasting, invoice coding, routing of WBS forms, creation of work offers, change orders, and assisting with material requisitions.


Essential Duties and Responsibilities:


  • Provide support to E&C Project Managers, Construction Managers, and Office personnel responsible for project records on the use of the Company's Construction Project Document Management System.
  • Perform audits during and after the construction execution phase on projects to verify the required technical, engineering and construction records are properly documented, collected, and uploaded to the Construction Document Management System in accordance with the Company Engineering Standards and state/federal regulations. Records must be traceable, verifiable, and complete.
  • Provide guidance to project teams with procedural and recordkeeping at all phases of project execution.
  • Assist in maintaining the Company's Engineering Standards for project documentation along with forms, guidelines, and procedures used during construction execution phase of Company projects.
  • Assist with the continuous improvement of the Company's Engineering Standards and Construction Project Management System.
  • At times, assist with project documentation, tracking, metrics, forecasting, invoice coding, routing of WBS forms, work offers, change orders, and requisitions.

Requirements:

Education and/or Experience, Knowledge, Skills & Abilities



  • High School diploma or equivalent.
  • 8+ years of industry related experience.
  • Ability to work in a fast-paced environment with multiple concurrent assignments.
  • Must be detail oriented with good organizational skills.Ability to communicate and assist in the resolution of issues in a professional manner.
  • Must be able to interface effectively with all levels of internal and external personnel.
  • Must have a strong knowledge of traceable, verifiable, and complete documentation.
  • Must have a strong knowledge of industry materials and equipment.
  • Must have thorough knowledge of pipeline and/or pipeline facility construction and appropriate engineering and construction records including inspection, redline drawings, welding records, coating records, survey data, as built drawings.
  • Must be familiar with all applicable state/federal regulations for Gas and Liquid Pipelines.
  • Must have strong computer skills including Microsoft Word, Microsoft Excel and web-based applications via computer or mobile device.


Preferred Qualifications:



  • Valid State Driver's License
  • Knowledge and experience with Company's Engineering Standards and forms preferred.
  • Knowledge of pipeline and facility construction documentation management principles preferred.
  • Previous experience as a Documentation Coordinator on a capital project preferred.
  • API 1169 Pipeline Construction Inspector certification preferred.
  • Certified Welding Inspector or equivalent certification preferred.
  • NACE Coating Inspector Program certification or ability to become certified preferred.


Required experience is commensurate with the selected job level:



  • The Specialist/Analyst level requires a Bachelor's degree or equivalent experience and 5+ years of relevant job related experience
  • The Senior Specialist/Analyst level requires a Bachelor's degree or equivalent experience and 8+ years of relevant job related experience

Working Conditions:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.


  • Usually, normal office working conditions.
  • Must be able to remain in a stationary position 50% of the time due to prolonged periods of sitting or standing.
  • Occasional overnight travel may be required.
  • Occasional visits to industrial/manufacturing settings, which may include exposure to various materials and chemicals, as well as extreme temperature conditions and loud machinery, and require appropriate personal protective equipment.
