Project Administrative Coordinator

Position Overview:

This position will be responsible for assisting the Project Management team in performing administrative duties associated with document storage, proposals, bid document creation, subcontract process, purchase orders, and other clerical tasks. The successful candidate will be a highly trusted, organized individual who exercises a great deal of discretion, and has exceptional interpersonal and multi-tasking skills.

Base Location/Travel Requirements:



  • Office assignment: York, PA with flexibility to work from another office or from home when appropriate.
  • Travel: Occasional travel as necessary to other offices, yard locations, trainings, and offsite meetings. Additional travel may be required to customer facilities.



Essential Functions/Duties:



  • Utilize Autodesk Construction Cloud Build for management of construction documents
  • Proposal review and proofreading
  • Field Time entry
  • Project Specific Document Control, draft, submit, distribute, including RFIs, Submittals, CORs, drawings, specifications, construction documents updates
  • Vista Reporting for Projects
  • Purchase Order Preparation and Expediting
  • Subcontract Preparation and Expediting, follow up for quotes and invoicing
  • Equipment and Warehouse Sharepoint requests and tracking
  • Draft, submit, and distribute project specific or customer reports, including CCIPs, JHA/Pre-job, Tool box talks, Schedules, etc.
  • Assist project team with applicable permits (customer, city, utility)
  • Schedule Processing in ACC Build scheduler
  • Meeting minutes, internal and external
  • COR tracking, including document control, and phase code updates
  • Time and Material data entry and pricing for COR preparation
  • Prepare CORs for internal execution



Education, Skills, Experience:

Required:



  • Degree or combination of education and relevant experience
  • Excellent communication skills, internally at all levels and with our customers
  • Knowledge of Microsoft Office, including Word, Excel, Outlook, etc.
  • Excellent typing and spreadsheet skills: accuracy is imperative
  • Detail oriented


Preferred:



  • 4-year degree - Business Management or related degree
  • Autodesk Construction Cloud Build proficiency
  • Previous experience in a supporting role within the construction industry
