The Salesforce Administrator and Prospect Coordinator facilitates efficient systems operations, ensuring the usability of database systems, and promoting portfolio growth through thorough prospect research and management. This position supports fundraising efforts by designing, developing, and implementing automated processes. The Salesforce Administrator and Prospect Coordinator is responsible for maintaining data integrity and accuracy across development systems. Furthermore, this position oversees the management and optimization of Salesforce systems, ensuring effective utilization and integration of the CRM platform within the organization.

RESPONSIBILITIES (include but are not limited to):

Assist in reviewing existing development processes and procedures and identify opportunities for standardization, efficiencies, automation, and production of reports to ensure robust, accurate, and consistent data.

Enhance the management of the PGA REACH Salesforce database and its accompanying data warehouse by concentrating on improving processes related to donations, campaigns, and data integration with the Programs CRM system.

Focus on optimizing various data and analytic configurations to ensure better functionality and effectiveness.

Understand business goals and objectives in order to proactively suggest the creation of new reports or dashboards.

Manage the queue of database uploads, including receipt, file preparation, upload, and reconciliation of data from complex giving campaigns, social media, and third-party online platforms.

Manage the donor acknowledgment process for select PGA of America REACH foundation donors.

Collaborate with external partners and internal staff to ensure projects are completed with accuracy, timeliness, and within budget.

Manage the deduplication process of records, including bringing forward recommendations regarding constituent data enhancements and tools to accomplish the work.

Partner with the PGA REACH Foundation stakeholders and Finance to reconcile incoming donations ensuring they are properly coded and allocated to the correct line item.

Assist in investigating data integrity/data integration issues to identify the root cause, recommend a solution, and serve as escalation point person, when needed, for resolution management.

Perform user acceptance testing and compile detailed feedback related to system upgrades and integration enhancements between online and offline database systems.

Assist in maintaining regular operational tasks (bi-annual network suppression file, quarterly donor data share), serving as primary liaison to network members for questions about the process and technical assistance.

Develop, disseminate, and maintain business documentation and ensure compliance with business rules related to data integrity and all Direct marketing and Digital operations processes to be used by vendors of the donor database.

Use integrated wealth screening program and prospecting tools to qualify prospects and donors originated by colleagues in the Development team and PGA of America REACH Foundation Senior Leadership.

Manage prospecting software to identify individual donors, foundations, and corporate foundations.

Partner with external vendors, Omnivo Digital, IT, and Finance on future enhancements and optimizations to the Salesforce CRM database and its existing integrations.

Complete Supplier Invoice Requests associated with the management, maintenance, and optimization of the PGA of America REACH Foundation Salesforce CRM database.

Ensure daily monitoring of web-to-lead inquiries within Salesforce and appropriately assign these inquiries to the relevant internal staff member.

Lead and facilitate Salesforce training for internal staff as needed.

EDUCATION AND EXPERIENCE:

Bachelor's Degree (B.A) in Accounting, Business Administration, or related field, or an equivalent combination of education, training, and experience.

At least two years of related experience in CRM management, prospecting, systems optimization, finance and accounting, or philanthropy operations, preferably at a nonprofit organization.

Experience with Salesforce Nonprofit Success Pack (NPSP) is required..

Experience with Workday and Google Workspace is a plus.

SKILLS, KNOWLEDGE AND ABILITIES:

Knowledge of the Salesforce NPSP. Ability to leverage functional knowledge in data, automation, and analytical skills. Ability to understand complex business systems and processes. Ability to develop reports and ensure data integrity, including in relation to financial performance in partnership with the Finance team. Knowledge of Salesforce, Workday, Google Workspace.

Ability to travel up to 5% of the time.
