Job Description

PRIMARY FUNCTION: The Epic Director has the responsibility for the successful implementation of JHP's multi-year roadmap for Epic's suite of payer software including Epic Payer Platform for provider collaboration and clinical data exchange, Tapestry for core claims, medical management and prior authorization , MyChart for portals, HelloWorld and Cheers for member services and communications and other modules as required to successfully enable Jefferson's health pater business strategy.

This person plans, organizes, directs, and manages project teams and tasks to achieve goals with budgeted funds and available personnel in coordination with the Enterprise PMO and other Enterprise teams as needed. The Director works with leadership to establish policies and ensure the project goals and objectives are met through the planning and decision-making process. The Epic Director provides strong leadership and implements changes when necessary to ensure the system implementation initiative is meeting the goals of the organization. Evaluates actual project/program progress against plans and directs corrective actions. The Epic Director acts as an advocate and liaison between stakeholder groups across the organization and is the central point of communication for all project activities. Drives portfolio and resource management adoption within the Information Services & Technology organization and assists other project managers in their understanding and practice of project management.

As an expert advisor and member of the Epic implementation team, this person helps the organization use Epic software to improve care processes. Analyzes client needs, creates workflows, develop strategies tailored to the organization, and provides guidance throughout the scope of implementation for the Epic software and associated projects. Activities include coordinating and aligning the delivery of multiple projects, developing cost benefit analyses for the program, communicating to an executive committee, creating and reporting program status utilizing a dashboard, allocating resources across the multiple projects, defining project governance policies and managing the financial concerns of the program.

ESSENTIAL FUNCTIONS:

  • Leads efforts to define requirements, deliverables, objectives, resources, and project schedules
  • Ensures all stakeholders are well informed and knowledgeable of key issues, risks and resource requirements, budget and cost factors, and technical challenges.
  • Demonstrates leadership by identifying and mitigating tasks, conflict, and communication.
  • Effectively manages the Epic and related projects to successful completion in a matrix project management organization serving critical healthcare operations
  • Maintains the scope and work plan and ensures all milestones and deliverables are on time and budget.
  • The internal communication of project strategies, high level deliverables, plans, and schedules.
  • Definition, adoption, and consistent execution of system requirements, communication, change management, issues management, and post-implementation support.

Interacts with co-workers, visitors, and other staff consistent with the iSCORE values of Jefferson.

OTHER FUNCTIONS AND COMPETENCIES :

  • Experienced in the implementation of Epic Payer Platform and other Epic solutions for health plans
  • Knowledge of payer operations in an academic medical center, multi-facility, health system.
  • Understanding of health care industry service delivery processes, preferably in a multi-facility health system.
  • Ability to establish and maintain project management methodologies for large, complex projects and ensure effective utilization across all project teams.
  • Demonstrated ability to solve highly complex technical, organizational and operational problems.
  • Significant competency in vendor management
  • Experience in establishing and maintaining appropriate and effective project governance structures for large, complex organizations
  • Demonstrated ability to communicate, collaborate and consult effectively with all levels of the organization. Demonstrated success at building team relationships and partnerships across organizational lines
  • Demonstrated knowledge of outcomes management and process improvement methods
  • Advanced understanding of the facility/environment requirements needed to support and operate Information Technology infrastructure equipment
  • Demonstrated understanding of enterprise wide healthcare applications suite
  • Demonstrates thorough understanding of the technology required to: input, process, and transport information within a single facility and throughout the system.
  • Demonstrates knowledge of server technology including; Windows-based servers, Unix-based servers, and terminal servers.
  • Escalates issues and risks to executive leadership, to ensure proper awareness and efficient resolution, to sustain the project implementation timeline.
  • Assists with the creation, modification, and enhancements to enterprise project management, standards, processes, and policies.
  • Maintains project management documentation to standards and presents findings to stakeholders, typically based on Project Management Institute (PMI) methodology.
  • Successful planning and execution of a multi-year, multi-facility, enterprise-wide clinical and revenue cycle systems implementation.
  • Ensures all outcomes and deliverables meet organizational goals, objectives and quality standards.
  • Primary contact for the core systems technology portfolio and will coordinate projects and communications to all impacted stakeholders.
  • Communicates with project leadership, clinicians and technical staff.
  • Functions as an advocate, Change Agent and serves as a positive role model for encouraging others to embrace operational changes and transformation associated with the Epic software implementation and other application technology projects.
  • Demonstrates knowledge of storage and backup technologies, technical security measures.
  • Ability to coordinate the efforts of technical resources to analyze the current installed environment and to provide recommendations on IT and telecom environments.
  • Demonstrates advanced knowledge of operating systems and software environments to lead IT staff in creating effective test and production environments; recommend possible solutions; and discover problems.
  • Exceptional leadership, organizational, and project management skills. Demonstrates application of advanced knowledge of Project Management Institute-based project management methodology.
  • Proven change agent and mentor
  • Skilled in Microsoft Office products including MS Project, Visio, Word, Excel and PowerPoint required; ability to use other on-premise or cloud-based project management, reporting and dishoarding tools

Must be self-motivated, well organized and have strong innovation and facilitation skills.

EDUCATIONAL/TRAINING REQUIREMENTS:

  • BA/BS in Computer Science, Business or related field preferred.

CERTIFICATES, LICENSES, AND REGISTRATION:

  • Current Epic certification in at least one application is strongly preferred.
  • Preferred: Project Management Institute (PMI) Certification or Project Management Professional (PMP) or a program recognized by the Project Management Institute (local or national group).
  • ITIL Foundation certification is strongly preferred when present in environment.

EXPERIENCE REQUIREMENTS:

  • 10+ years successful experience in information systems, payer operations or medical informatics.
  • 4+ years successful experience in strategic planning and execution, serving in a management role, working as a change agent and providing company-wide leadership. Management of multi-million dollar project budget.
  • 5+ years experience in implementing information systems, payer/revenue cycle initiatives and other programs, including payer/revenue cycle platforms with progressive IT experience or a combination of education and experience in an IT environment required.
  • Experience in leading/managing all or a part of the at least one Epic implementation beginning to end.
  • Extensive experience managing projects within a health plan or healthcare organization. Includes execution and control of scope, budgets, schedules, issues, risks, testing, training and end user adoption. Professional maturity and discretion to maintain both confidentiality and an objective perspective when working with sensitive and confidential information

  • Demonstrated success in Program Management in full life cycle, enterprise wide, implementation of both payer/revenue cycle applications in both the acute care and ambulatory environments.
  • Demonstrated ability to work successfully with professional and non-professional staff representing diverse cultures, occupations, professions, needs and priorities
  • Ability to effectively utilize external vendors and resources throughout the organization
  • Strong negotiation, consulting and arbitration skills
