Job Details .The incumbent will report directly to the Enterprise Board Administrator in Center City, Governance and Board Operations Office. The position will work closely with the VP, Principal Counsel and will be responsible for performing high-level administrative duties associated with regional board(s) and committee governance support and executing special projects as required. The ideal candidate will demonstrate the ability to exercise sound judgment in diverse situations and possess strong verbal and written communication skills, alongside administrative and organizational expertise. This role will act as the main contact for Board members, addressing their needs, coordinating communications, and providing timely information and updates.

- The role necessitates close collaboration with the Enterprise TJU Board Administrator, Jefferson Health-Region President, Hospital Counsel, Hospital Leadership, and relevant Board and Committee Chairs, Trustees.
- Point of Contact: Serve as the primary point of contact for board members, addressing a wide range of issues and providing timely, appropriate responses to inquiries and concerns from both board members and staff.
- Meeting Coordination: Organize and manage all aspects of Board meetings in conjunction with the Regional President, Hospital Counsel, and Board Chair, including scheduling, agenda preparation, distribution of materials, and follow-up on action items. This shall also include providing same for board committee meetings and subsidiary board meetings. This shall include scheduling pre-planning and post-meetings, reserving meeting spaces, arranging catering, and fulfilling audiovisual requirements, and ensuring all arrangements are made in a timely manner
- Document Management: Ensure accurate and thorough documentation of Board meetings, including minutes, resolutions, and other corporate records. This shall include the management of electronic and hard-copy corporate files for the board, board committees, and subsidiary boards, as well as information related to trustee service. The incumbent must be comfortable working with corporate governance and entity management platforms
- Information Flow: Facilitate the flow of information between the Board and the Executive team, ensuring that Board members receive relevant updates and reports in a timely manner. This shall include the preparation of agendas for board meetings, board committee meetings, and subsidiary board meetings, along with clear and concise meeting summaries, minutes, reports, and related materials
- Calendar and Meeting Management: Oversee calendar and meeting management, necessitating regular interaction with board and executive-level internal and external stakeholders.
- Team Collaboration: Act as a supporting member of the Governance and Board Operations team, ensuring departmental efficiency and effectiveness
- Correspondence Preparation: Draft routine written correspondence for internal and external constituents, including acknowledgments, meeting confirmations, information requests, memos, emails, invoices, presentations, and reports as directed
- Meeting and Travel Coordination: Assist in organizing executive-level meetings and travel arrangements, including itinerary preparation and the timely submission of reimbursement requests, along with tracking payments and reimbursements
- Supply Management: Order necessary office supplies, including printed materials, audiovisual equipment, catering, and other related items
- Clerical Duties: Perform additional clerical and administrative tasks as directed.
- Technical Proficiency: Exhibit strong computer skills, including proficiency in Microsoft Word, Excel, PowerPoint, Zoom, and other web-based platforms. Engage with coworkers, visitors, and staff in alignment with the values of Jefferson.
