Title: Technician - IT Coordinator

Location: Hybrid - Lansing, MI Office

Purpose: This position provides support for projects managed by the IT/Informatics Unit within the Bureau of HIV and STI Programs (BHSP). This includes, but is not limited to, the SHOARS (STI/HIV Operations and Resource System), MIDASH (Michigan Integrated Data Application for STI and HIV), and other information technology (IT) initiatives including the management of IT equipment, licenses, systems, and processes.



Duties and Responsibilities:

  • Manage IT/office equipment, software, systems, and processes as needed.
  • Diligently track IT equipment, licenses, and other important BHSP staff details, conducting regular audits.
  • Lead IT onboarding for new hires and IT offboarding for departing staff.
  • Stand as the primary Authorized Requestor (AR) for BHSP.
  • Create and manage IT resource documentation (job aids, how-to guides, etc.).
  • Manage all IT asset requests in a timely matter.
  • Process VPN, phone, and laptop refreshes, renewals, and deployments.
  • AARP/recycle IT equipment no longer in use.
  • Manage BHSP Tech Support Teams chats and share other IT updates from IT Liaison team/DTMB.
  • Order IT equipment, software, and supplies to meet staff needs.
  • Complete and submit required DTMB IT forms.
  • Create and track shared Outlook inboxes, Outlook calendars, and Teams Channels.
  • Share and help enforce DTMB IT policies.
  • Help notify key staff of potential billing/accounting template changes and track these details as needed.
  • Assist the Section Secretary and other BHSP admins with tasks for the Integrated Surveillance and IT Section and the Bureau of HIV and STI Programs as necessary.
  • Maintain, organize, and update pertinent information within SharePoint libraries, OneDrive folders, and V-Drive folders.
  • Manage contact lists in SHOARS by removing duplicates, assisting system registrants, editing profile details, placeholder user creation, attendee record support, contacting users for information, etc.
  • Follow up on requests in SHOARS.
  • Create and manage Salesforce requests and reports.
  • Assist in drafting and sending mass communications to internal bureau staff and external BHSP partners.
  • Support scheduling needs in Microsoft Outlook and Microsoft Teams for meetings, adding important dates/deadlines to staff calendars.
  • Represent the best interests of MDHHS and MPHI at all times.
  • Other duties as assigned.



Qualifications/Requirements:

Education: Education typically acquired through completion of high school. Possession of a Bachelor's degree and one year of professional experience may be substituted for the experience requirement.

Experience: Minimum two years of experience in information technology (IT), system support, project management, customer service, and/or administrative activities.

Work Environment and Physical Requirements: This position will primarily be in our Lansing Edgewood office in a standard office environment (part-time in the office and part-time virtual). The position also requires regular trips to our Detroit Cadillac Place office. This position will require viewing a CRT or VDT screen up to 80% of the time. Occasional physical effort, including lifting materials and equipment up to 50 pounds. Requires a valid vehicle operator's license to attend off-site meetings, conferences, and trainings.

RESPONSIBILITY FOR THE WORK OF OTHERS: No assigned responsibility.

IMPACT ON PROJECTS, SERVICES AND OPERATIONS: The IT Program Coordinator has a strong impact on the efficiency and integrity of the analysis conducted on the projects to which they are assigned. The IT Coordinator is important to the efficient operation of a unit dedicated to data modernization/IT initiatives, informatics, system security, IT assets, and more.
