JOB DESCRIPTION AND POSITION REQUIREMENTS:

TheProfessional Personnel Development Center (PPDC) seeks an Administrative Assistant to provide services such as enrollment, record-keeping, event coordination, and communications for students and participants of the center's outreach activities.

The PPDC is an interdisciplinary project with offices and academic affiliation in the Workforce Education and Development (WFED) Program in the College of Education and the Agricultural Extension and Education (AEE) Program in the College of Agricultural Sciences.

Since 1978, the Center has supplied courses and outreach services to prepare and enhance high quality teachers and administrators of Pennsylvania secondary career and technical education schools (once called vocational schools) and school district Agricultural Science programs.

The Administrative Assistant will work with the PPDC team of faculty and staff in both the AEE and WFED offices.

Responsibilities of the Administrative Assistant include but are not limited to:

  • Plan, organize, support, and coordinate daily office activities and administrative processes for PPDC.

  • Register students for university courses in LionPath (Penn State's student information system).

  • Greet visitors and provide information; review, respond to, and direct inquiries and back-up other PPDC administrative assistants.

  • Provide guidance to Agricultural and Extension Education (AEE) pre-induction teachers and current teachers on policies and procedures, maintain records for teacher certification purposes.

  • Assist with coordination of AAE pre-induction teacher activities such as school placements and professional development seminars, assist with center and department academic programming events and coordination of workshops and seminars.

  • Create and maintain databases, program websites, and listservs.

  • Support and coordinate special events; reserve meeting spaces, develop itineraries, prepare materials, coordinate work between teams, and serve as point of contact with vendors.

  • Manage large mailings, maintain calendars, make appointments, and assist in facilitating meetings through scheduling, preparation of agendas, and keeping minutes.

  • Prepare weekly mailings to students and teachers to keep them updated on the opportunities and upcoming activities.

  • Assist with supervision and training of wage payroll and work-study employees.

  • Maintain inventory; order office and instructional supplies; arrange for equipment maintenance; and process work orders for facility needs.

  • Resolve inquiries and ensure compliance with work unit and/or University policies and procedures.

This is a non-exempt and limited-termposition,funded for one year from date of hire with an excellent possibility of re-funding.

This position is based at Penn State's University Park campus, rotating between the two separate campus offices for AEE and WFED (located in two different buildings on campus). After the initial onsite training period, this position can work fully onsite or in a flexible work arrangement that combines remote and on-campus work. Education and Experience:

This position will be filled at the level of Intermediate Support, which requires a minimum of a High School Diploma or General Equivalency Diploma (GED) and two years of relevant experience, or an equivalent combination of education and experience.

Candidates must have proficient working knowledge of Microsoft Office 365 and the ability to learn job-related software applications.

Candidates should also possess excellent organizational, communication (oral and written), and interpersonal skills, and the ability to work with minimal supervision and in a team environment.

Proficiency in one or more of the following (or similar systems) is strongly preferred:

  • WorkLion/Workday (central resource for HR services, payroll, attendance, etc.)

  • Shop OnLion (Penn State's system to procure goods and services)

  • LionPath (Penn State's student information system)

  • 25Live (scheduling platform)

  • SAP Concur

  • SIMBA (Penn State's System for Integrated Management, Budgeting and Accounting)

$38,300.00 - $55,500.00
