SUMMARY

At the direction of, and in concert with, the Operations Supervisor, the Scheduling Coordinator administers the real estate tax assessment appeal process to a rigorous standard. As this role is essential to safeguard the rights of taxpayers, it requires significant judgment and responsibility.
The Scheduling Coordinator reviews/enters appeal data, handles inquiries from appellants/attorneys, assembles hearing schedules; ensures adherence to strict deadlines, timely notification of parties, and organization of hearing files. Outside of the six (6) month appeal "busy season," this role assists the Homestead Coordinator, serves as a backup receptionist, and assists with special projects throughout the office.
The ideal candidate will have top-notch data entry skills, be highly organized, communicative, and will thrive under pressure when backed up by a supportive team. Comprehensive training is provided, so prior knowledge of real estate and tax assessments is desirable but not required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

* Reviews/enters data from appeal applications upon receipt. o Determines the type of appeal, adherence to relevant policies, deadlines. o Background research to determine whether there is a fundamental defect with the appeal, (such as a linked parcel left out, lack of standing), and working with the appellant to cure the error, as appropriate. * Ensures that relevant parties, internal and external, receive timely notification at each stage of the process. * Verifies that hearing files are organized, and documentation is present, prior to hearings. o Assists/directs hearing attendees, as necessary on hearing days. * Serves as a liaison to relevant department staff, keeping them apprised of new appeals, schedules, and changes. * Ensures that procedures, policies, rules, and regulations are applied consistently. * Proactively leverages technology to improve efficiency and accuracy. * Assisting with homestead exclusion processes, and special projects throughout the office.

* High school diploma/equivalent degree. * Strong organizational skills and an ability to prioritize, meet deadlines. * Demonstrated ability to remain productive, and kind, under pressure. * Demonstrated ability to handle sensitive processes, where mistakes may carry a significant cost. * Experience using (Microsoft) office productivity software, and general office equipment. o Ability to learn new software and systems. * Ability to communicate effectively, both orally and in writing. * Attention to detail and high level of accuracy, in review and data entry. * Desirable: experience in legal, real estate, or related fields.
