Location:Lee Health -9800 S HealthPark Dr Suite 405Fort Myers FL 33908 Department: Admin Services - CACO Work Type: Full Time Shift: Shift 1/ to Minimum to Midpoint Pay Rate:$27.78 - $37.50 / hour Position Summary The Executive Assistant to the Chief Strategy & Innovation Officer (CSIO) plays a critical role in enhancing the effectiveness of the CSIO and the broader Strategy & Innovation team by proactively understanding, anticipating, and responding to their needs. This role ensures that the CSIOs time and focus remain on high-value priorities while also providing essential administrative and operational support to the Strategy & Innovation Division. The ideal candidate must be highly organized, adaptable to shifting priorities, and comfortable operating in ambiguity. A strategic mindset, strong problem-solving skills, and the ability to manage complex schedules, meetings, and deliverables with discretion and efficiency are essential. Key Responsibilities Executive Support & Administration
- Manages the CSIOs calendar with precision, ensuring time is allocated effectively to strategic priorities.
- Anticipates needs and proactively prepares briefing materials, background information, and follow-up actions ahead of meetings.
- Screens calls and emails, prioritizing and responding on behalf of the CSIO when appropriate.
- Coordinates travel, ensuring seamless logistics and preparation.
- Prepares highly confidential reports, correspondence, and presentations with attention to detail and professionalism.
- Takes effective meeting minutes, organizes follow-ups, and tracks completion of key deliverables.
- Manages the CSIOs division budget, tracking expenses, researching variances, and providing analytical insights.
- Manages conference registrations and speaking engagements for the CSIO, ensuring all logistics are in place.
Strategic Coordination & Project Support
- Supports the execution of strategic projects, tracking deliverables and ensuring alignment with organizational goals.
- Provides extended support to the CSIOs direct reports, particularly in coordinating and organizing large meetings.
- Maintains spreadsheets, reports, and tracking systems to monitor progress for departments/functions reporting to the CSIO.
- Coordinates large organizational meetings, leadership summits, and events, including business lunches/dinners, agendas, speakers, and follow-up actions.
- Prepares/coordinates meeting materials include agenda and slide decks
- Coordinates and organize communication materials
- May prepare board meeting materials, ensuring high-quality content and organization.
Communication & Relationship Management
- Serves as a liaison, ensuring clear and efficient communication between the CSIO and internal/external stakeholders.
- Develops and distributes executive communications, including memos, reports, and leadership briefings.
- Interfaces with executives, board members, and external partners, representing the Strategy Office with professionalism.
- Facilitates coordination between the CSIO and other senior leaders, ensuring alignment across key initiatives.
Operational Excellence & Process Improvement
- Identifies opportunities to improve efficiency within the Strategy Office and implements process enhancements.
- Ensures smooth execution of day-to-day office operations, proactively resolving challenges.
- Proficient in virtual meeting technologies, including web meetings, conference call setups, and troubleshooting.
- Manages office supplies, printers, and kitchen areas at both the Finemark Strategy Office and Med Plaza One Executive Suite.
- Handles special projects and other duties as needed to support the CSIO.
Qualifications & Experience
- Bachelors degree preferred; equivalent experience considered.
- 5+ years of experience supporting C-suite executives, preferably in healthcare, corporate strategy, or consulting environments.
- Demonstrated ability to anticipate needs and optimize executive effectiveness.
- Comfort with ambiguity and ability to adapt to constantly shifting priorities, handling them with a calm and positive attitude.
Other:Proficient in MS Office (Outlook, Word, Excel, PowerPoint and Webex). Requires ability to master other software, as needed. Excellent typing speed and accuracy. Excellent written, verbal interpersonal communication skills with significant attention to detail.
