The University Advisement Center at Georgia State University is seeking to hire a part-time Administrative Assistant (Temp).

WHAT WILL YOU DO:

This position provides administrative support to the GSU-CAC Director scheduling appointments, meetings, and travel, filing, researching files and records, and preparing and proofreading correspondence, reports, and other documents as requested.

DUTIES AND RESPONSIBILITIES INCLUDE:



  • Assists advisers by determining who can best provide the information needed by the advisers, providing basic and initial assistance to advisers with questions about purchasing (food and supplies), reimbursements, vendor invoices etc. using established guidelines (state per diems, PantherMart, and established policies and procedures).
  • Supports the work of the program by purchasing supplies/equipment, maintaining an inventory of office supplies/equipment, and utilizing the appropriate process to pay for goods or services purchased by the program.
  • Program: helps to organize and conduct program events, as directed, by securing space, equipment, food, preparing invitations, announcements, agendas, brochures, and packets, purchasing awards, making travel arrangements and reservations, and assisting with the event as it occurs.

    • Advisers: Seek quotes and order food for all adviser events, ensure delivery dates and times are confirmed, and submit invoices for vendors to be paid after all adviser events.
    • Keeps an Excel form to monitor program and adviser expenditures.


  • Stays abreast of policy changes made with College Advising Corps, Achieve Atlanta, Georgia State University, and AmeriCorps policies while housing those changes in an electronic drive.
  • Organizes an electronic drive that houses all GSU-CAC personal and programmatic data.
  • Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
  • Remains competent and current by attending professional development courses, software training classes, and courses and/or training sessions as directed by the Director or required by the University or College Advising Corps.
  • Supports the program by performing all other duties as assigned by the Director.

Qualifications :

Minimum Requirements:



  • A Bachelor's degree and two years of related experience or a combination of education and experience.


Preferred Requirements:



  • Keyboarding skills, knowledge of word processing, and spreadsheet applications are required.
  • Must have a working knowledge of or the ability to learn and use database applications, PantherMart system, and other systems or applications that may be used within the University or department.
  • Must know how to operate and troubleshoot electronic office equipment, computers, and peripherals, maintain moderately complex filing systems and records, and make mathematical calculations.
  • Effective verbal and written communication skills are required.
  • Must be able to train, assign work, and review the work of advisers.
