Position Title: Executive Assistant

Location of Position: United States -- Wisconsin -- Sturgeon Bay

Reports To: VP & General Manager

Position Summary: This position is responsible for supporting the professional staff at our vast 63-acre facility in a manner, which ensures efficient completion of assignments. Significant heavy manufacturing takes place both in several fab shops, as well as on the waterfront. The successful candidate will support the 1,000+ working men and women on our waterfront by providing receptionist, secretarial and clerical services to the senior staff, and assisting in planning and executing special projects.

Detailed Description:



  • Acts as receptionist by greeting, screening and escorting visitors to the appropriate party. Handles matters as needed and provides information as requested.
  • Answers telephones, records all messages and delivers to appropriate personnel.
  • Participates in meetings of staff and special committees as requested.
  • Receives and distributes incoming mail, answering routine requests and inquiries.
  • Maintains appointment schedules, keeps calendar and obtains travel and hotel reservations as requested.
  • Assists in the preparation of reports and presentations.
  • Places services calls as needed.
  • Maintains adequate office supplies and orders equipment and other items as directed by the VP & General Manager.
  • Performs confidential administrative duties for the VP & General Manager.
  • Provides all typing including correspondence and forms for the department.
  • Prepare invoices, reports, memos, letters, and other documents for the VP & General Manager.
  • Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid VP & General Manager.
  • Performs other duties as requested by management.
  • Provide guidance/awareness to staff of unsafe practices.
  • Aid in development of new policies or procedures.
  • Ensuring accurate and efficient communication of company business throughout all areas of the company.
  • Coordination of company business with all external parties and stakeholders.

Minimum Qualifications:



  • High School Diploma
  • Minimum of 6 years of experience
