WHO YOU ARE: A college intern eager to gain practical experience in the meeting industry. You are enthusiastic about learning, ready to take on hands-on tasks, and excited about planning events for large companies. This role is ideal for someone who thrives in a dynamic environment, enjoys tackling challenges, and is passionate about creating memorable experiences. This position will be remote, candidate must be located in Eastern Time Zone. What you will be doing Administrative Support: * Responsible for providing general administrative duties and support to the Strategic Global Events Team * Provide cross-functional team support for hybrid, virtual and in-person events * Responsible for monitoring the dedicated events email/phone and timely respond to general attendee, customer and employee requests * Submit and track purchase requests, vendor agreements and invoices, and maintain event budget documents * Manage promotional items in storage; ensure inventory is maintained * Assist with special projects and other general office tasks as needed Event Management Support * Supports the team in managing task lists, milestone schedules, and accurate guest lists for multiple events throughout the year * Update departmental databases with event information, including agenda management details, customer and partner details, and employee information * Provide email marketing support, including quality checking emails before they are sent; proof-reading event marketing materials/communication pieces, etc. * Ensure event collateral and materials are delivered to events on time and as planned * Assist with internal and external event web sites and mobile app development * Manage event inventory in storage; ensure inventory is maintained * Assist registration manager with financial and attendance reports, reconciliation and collections post event What will make you successful * Proficient in Microsoft Excel, PowerPoint, Outlook as well as other cloud-based technologies * Organized and strong attention to detail and desire for accuracy while balancing multiple projects at any given time * Effective time management and critical thinking skills with the ability to work effectively in a fast-paced environment * Effective written and verbal communication skills with the ability to work effectively with various internal teams, external vendors, and event volunteers * Customer focused, team player, proactive |
