Program Manager
About the role
We are seeking a dedicated and proactive Program Manager to lead our event planning and project management efforts for various meetings and events. In this role, you will collaborate with clients, colleagues, and vendors to ensure seamless execution while adhering to compliance standards and budgetary requirements.
As a Program Manager, you will
- Oversee the entire lifecycle of assigned programs, from registration through to budget reconciliation.
- Facilitate weekly team meetings, prepare recaps, and distribute them to team members.
- Provide expert knowledge and training to meetings & events staff.
- Build, monitor, and maintain accurate event budgets throughout the meeting lifecycle.
- Negotiate vendor contracts and foster long-term partnerships.
- Serve as the main point of contact for clients, ensuring clear communication of milestones.
- Collaborate with teams to create effective attendee communications and registration websites.
- Manage logistics for hotel rooms, meeting sets, AV/Production needs, and more.
- Conduct site inspections and follow up with notes, revised budgets, and program itineraries.
- Ensure adherence to compliance guidelines and financial controls for all meetings.
You're good at
- Strong organizational and interpersonal skills.
- Verbal and written communication that is clear and professional.
- Demonstrated project management capabilities, capable of juggling various programs simultaneously.
- Negotiating effectively and building strong vendor relationships.
- Maintaining composure under pressure and making sound decisions when needed.
- Providing exceptional customer service and problem-solving for both clients and team members.
You might also have
- A college degree (strongly preferred).
- A minimum of three years of experience in meeting planning, particularly in the Pharmaceutical or Life Sciences industries.
- Two years of experience managing outside vendors and negotiating contract services.
- Experience with international events and knowledge of the travel industry and destinations.
- Proficiency in Microsoft Office, Excel, and Cvent.

We carefully consider a wide range of compensation factors, including your professional background and experience. The salary range for candidates in applicable jurisdictions in the US for the position of Program Manager is between $57,000 - $68,000. The actual pay depends on your skills, qualifications, experience, geographical location, and project budget.
