TITLE: Editorial Assistant

REPORTING RELATIONSHIP: Senior Director, Professional and Consumer Publishing

BASIC FUNCTIONS:

Provide editorial and project support for Publishing activities, ensuring compliance with all deadlines, due dates, and schedules.

DUTIES AND RESPONSIBILITIES:

1. Prepare all contracts and consulting agreements as directed.

2. Obtain appropriate conflict of interest (COI) disclosures from American Academy of Pediatrics (AAP) authors, editors, contributors, and editorial boards. Serve as department liaison to the AAP Compliance Specialist.

3. Obtain appropriate permissions for use of outside material for AAP publications.

4. Create art logs and track use of AAP digital assets.

5. Assist with manuscript development tasks as directed, including transferring edits, making corrections, and proofreading.

6. Assist with copyediting of manuscripts, catalogs, and other promotional materials.

7. Provide project management support for editorial, production, and journal publishing staff.

8. Assist with journal publishing activities, including manuscript submissions, proofreading, building CME quizzes online, and tagging AAP policies.

9. Perform quality checks of all new submissions and format review of book and journal manuscripts accepted for publication.

10. Route manuscripts, chapters, and articles to appropriate reviewers.

11. Assist with the planning of live and virtual meetings and conference calls.

12. Respond to routine publishing inquiries.

13. Perform all other duties as assigned.

EDUCATION:

Bachelor's degree in journalism, communications, or related discipline or an equivalent combination of relevant education and work experience required.

EXPERIENCE:

One year related editorial or administrative experience required. Experience working with print and digital publications and knowledge of copyediting guidelines and publishing activities preferred.

ESSENTIAL SKILLS:

Must pay close attention to detail, be able to manage multiple priorities simultaneously, take initiative, work both independently and as part of a team, collaborate effectively with various internal and external constituents, and promote and contribute to fostering an inclusive culture where everyone feels valued and respected. Excellent organizational, interpersonal, time management, and oral/written communication skills required. Strong technical acumen essential with proficiency in MS Office, experience with CRM/database software, and the ability to learn and apply new technologies; experience with web maintenance software (eg, SharePoint), virtual meeting platforms (eg, WebEx, Teams), HTML /XML, and website production preferred. Some overtime and weekend work required.

A reasonable estimate of the current base pay range for this position is $26.05/hr - $27.51/hr. Compensation decisions take into account a wide range of factors, including but not limited to relevant experience, skills, certifications, geographic location, business needs, and organizational policies. In addition to those factors, we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer.
