We are currently accepting INTERNAL applications for the following full-time (35hrs/wk) position:

Department Account Assistant
Department of Public Works

Anticipated Hiring Range: $27.98 - $31.89
with excellent benefits

The REQUIRED Town of Lexington application form must be received in the Town's Human Resource
Department. This position is open for internal candidates, open until filled

GENERAL SUMMARY:

Under the general supervision of the Office Manager, coordinates and performs diversified administrative tasks and
specialized functions to support the overall operation of the Department.

ESSENTIAL JOB FUNCTIONS:

* Coordinates the accounts payable process. Receives and records invoices for services retained or
supplies purchased by the Department. Obtains authorization and schedules invoices for Town
warrant to ensure prompt payment. Collects, reviews, and/or approves credit card transactions, and
processes police detail payments.

* Answers and routes phone calls and provides customer service at the front counter. Provides
information and assistance to a variety of customers including residents, vendors, Town employees,
committees, and the general public, and/or directs customers to the appropriate staff member.

* Provides administrative support to the Public Works Director, Office Manager, and other employees.
Coordinates correspondence, creates and maintains spreadsheets and databases, and performs
other tasks as directed.

* Assists in monitoring budgets for various Public Works divisions to ensure activity stays within
budgeted limits. Reviews accounts for revenue and expenditure balances, and creates reports as
requested. May make recommendations and assist with problem-solving.

* Collects and deposits funds received for maps, permits, and other Department services.

* Maintains a variety of print and electronic files and records related to Department operations and
services.

* Processes incoming and outgoing mail and responds to mail requests.

* Maintains inventory of office supplies and orders additional supplies as needed.

* Provides and receives cross-training for all essential Department functions. Provides back-up
support to other Public Works divisions, including assisting Engineering staff, when requested.

* Performs special projects and other related duties as required, directed, or as the situation dictates.

* Regular attendance at the workplace is required.

SUPERVISORY RESPONSIBILITY:

None.

MINIMUM EDUCATION & EXPERIENCE:

Equivalent to High School diploma and one to three years of increasingly responsible related
administrative support experience.

ADVANCED EDUCATION & EXPERIENCE:

None.

QUALIFICATIONS:

Knowledge of:

* Modern office procedures, methods and computer/software equipment.
* English usage, spelling, grammar and punctuation.
* Principles and procedures of record keeping.
* Basic accounting and purchasing procedures.
* Business letter writing and basic report preparation techniques.
* Effective customer service techniques.

Ability to:

* Perform responsible administrative support services.
* Operate computer and various software necessary for performing assigned duties.
* Type at a speed necessary for successful job performance.
* Work independently in the absence of supervision.
* Communicate clearly and concisely, both orally and in writing, and maintain effective working
relationships.
* Effectively handle an environment which involves close contact with coworkers and the public.

WORKING CONDITIONS & PHYSICAL DEMANDS:

Work is performed in a normal office environment, not subject to extreme variations of temperature,
noise, odors, etc. Operates computer, printer, scanner, fax machine, typewriter, postage machine, and
other basic office equipment. Work requires extended periods of sitting, reaching, typing, and mousing,
which requires eye-hand coordination and finger dexterity. Occasional bending, climbing, and lifting
may be required.
