Administrative Assistant - Central Campus

FUNCTION: The Administrative Assistant for Advising, Career and Transfer serves as the primary point of contact for the department while performing a variety of receptionist and administrative functions.

Primary Responsibilities:

  • Serve as primary point of contact for division front by answering multi-line telephones, greeting and signing in students.

  • Provide support to Welcome Desk staff and assist with coverage in times of high traffic

  • Monitor student traffic by overseeing sign-in system to ensure timely scheduling.

  • Participate in the selection, hiring, and training of federal work study student assistants.

  • Provide administrative support to the Director for Advising, Career and Transfer and student advising staff.

  • Performs general office duties such as: monthly reports, P-card processing, and inventory supply orders.

  • Complete expense reporting, invoicing, and accounting tasks.

  • Work cooperatively with counterparts on the other campuses to achieve the College's annual goals and objectives.

  • Serve on college committees as requested.

  • Other duties as assigned.

Knowledge, Skills and Abilities:

  • Facilitate timely, professional communication and problem resolution strategies.

  • Must be knowledgeable about and be responsive to FERPA law and regulations.

  • Maintain processes and systems that improve the quality of customer support services.

  • Demonstrate working functional knowledge and use of Banner and Microsoft Office.

  • Ability to coordinate office scheduling.

  • Must possess outstanding customer service skills .

  • Must be available for occasional nights and weekend activities.

Required Education:

  • High school graduate or equivalent (GED).

Preferred Education:

  • Above requirements plus one (1) year of specialized or technical training beyond high school.

Required Experience:

  • Two (2) years of office clerical or administrative support experience; or an equivalent combination of education and experience to successfully perform the essential duties of the job.

  • Basic skill level in Microsoft Office- Word, Excel & PowerPoint.

Preferred Experience:

  • Above experience including one (1) or more years in a higher education environment.

Note: The duties of this position require a physical presence at the assigned on-site work location during unrestricted operations with very limited or no opportunity for remote work arrangements.

Salary Grade: 103
