The Ambulatory Surgery Center at UT Health Austin is seeking a Patient Access Representative.

Purpose

Patient Access Representatives directly facilitate care for patients at UT Heath Austin and provide the highest level of customer service and outstanding communication skills to ensure timely coordination ofcare for the patients. Patient Access staff ensure that all data entry is accurate including demographic and financial information for each account. This position has numerous procedural requirementsincluding data elements, insurance verification, authorization for services, and collections for all patient portions including prior balances. Additionally, Patient Access staff are responsible for the successful financialoutcome of all patient services.

Responsibilities
  • Assist in patient check-in process for the Ambulatory Surgery Center and cross-train across other specialty practice units.

  • Accurately gather and enter into the electronic medical record system all demographic, insurance and clinical information from the patient following HIPAA related guidelines.

  • Must be able to work with a variety of patient types and assist with positive outcomes for the patient visit.

  • Perform insurance verification, appointment confirmations, cancellations, and reschedule. Verify patient insurance in accordance with UT Health Austin guidelines.

  • Review and collects all copays and outstanding balances. Versed in calculating superbills and making payment arrangements or providing resources for other payment solutions.

  • Under general supervision, exercise some discretion, make routine decisions based on existing scheduling guidelines and assume other duties when assigned.

  • Schedule patient follow-up appointments or coordinate new patient appointments for patients being referred for new services.

  • Provide response and assistance to patients via electronic multi-media requests (email, chat, web, etc.). Obtain medical records as needed in accordance with UT Health Austin guidelines.

  • Resolve immediate patient or visitor needs or contact leadership immediately to assist with any urgent situations.

  • Navigate all contacts appropriately using various software tools and electronic technology methods.

  • Maintain Quality Performance Review Scorecard Standards (score of 90 percent or greater).

  • Other duties as assigned.

Required Qualifications

High school graduation or GED. Three years of related experience, such as prior healthcare setting experience. Working knowledge of Electronic Practice Management systems to include scheduling and general billing functions. Capable of documenting patient communication, referral notations, and clinical chart notes accurately and appropriately. Professional verbal and written communication. Ability to anticipate needs and follow through with internal and external customers. Exceptional customer services skills, awareness and phone etiquette. Ability to follow directions. Ability to communicate effectively with patients and families. Effective problem-solving skills to include data analysis and judgment to make effective decisions. Ability to work with minimal supervision in a fast-paced, multi-physician practice environment. Ability to develop and maintain effective working relationships with providers, staff, and patients. Strong analytical, organizational, problem-solving skills. Basic computer skills and experience with electronic health records.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications:

Bilingual in English and Spanish. Experience in an ambulatory surgery center, academic health center or ambulatory practice.

Salary Range

$45,128+ depending on qualifications

Working Conditions
  • Work hours are variable based on patient care needs but are generally Monday-Friday.

  • Ability to sit and stand for prolong periods of time, ability to walk, some bending, stooping and stretching.

  • Ability to perform overhead and low reaching activities.

  • Requires hand-eye coordination and manual dexterity sufficient to provide patient care and operate a keyboard, photocopier, telephone, and occasional use of other office equipment.

  • Requires normal range of hearing/eyesight/voice projection to record, prepare, and communicate appropriately.

  • Physical strength for equipment needs and patient care activities; may require frequent lifting/moving up to 50 pounds and occasional lifting/moving in excess of 50 pounds.

  • Ability to move quickly in response to patient needs.

  • Exposure to noisy equipment.

  • Subject to varying and unpredictable situations, high stress/pressure, handles emergency or crisis situations, regular interaction with emotional patients and/or family members.

  • Work is performed in a patient care setting and may involve exposure to infections, communicable diseases and hazardous materials, radiation/laser, waste gases and blood and body fluids. Frequent exposure to water and chemicals used in disinfection/sterilization process.
