The Opportunity

Embry-Riddle Aeronautical University's Title IX Department is seeking a Case Manager at either the Daytona Beach, Florida, or the Prescott, Arizona campus. The Title IX Case Manager will be responsible for the day-to-day management and tracking of Title IX related complaints and provide consistent office practices through case management and administrative support. Reporting directly to the Executive Director of Title IX Compliance, the incumbent will serve as the primary resource for managing cases and case files, facilitating informal resolutions, assisting with intakes, and ensuring all parties, including students, faculty, and staff, have access to the appropriate supportive campus and/or community resources. In addition, the incumbent will assist with university-wide Title IX educational programs, events, and trainings for faculty, staff, and students.

Case / Database Management

  • Manages the life cycle of a complaint/report from intake to completion, ensuring all case activity is accurately documented in the institution's case management software (e.g., Maxient).
  • Organizes, maintains, and collaborates on case records with the Title IX team and updates the case files in Maxient daily.
  • Ensures all university cases are properly coded in the case management software.
  • Maintains a case log of all active investigations, case assignments, informal resolutions, educational conversations, and/or case transfers.
  • Oversees the record retention for Clery and Title IX cases, makes recommendations to the Executive Director of Title IX Compliance for annual Clery reports.
  • Retrieves data for reports, including but not limited to monthly office reports and Clery reportable data, as necessary.
  • Prepares an annual report for the university's Title IX Office and assists with internal audits.
  • Creates custom reports as requested by the Executive Director of Title IX Compliance and/or Vice President and General Counsel.
  • Remains current on case management software system, including new implementations and updates, providing recommendations to the team, as necessary.
  • Maintains a hard copy filing system for cases, as necessary.

Case Facilitation

  • Serves as an additional facilitator of Title IX related informal resolutions, including, but not limited to coordination between the parties, supportive measures, resources, and completing informal resolution agreements, as necessary.
  • Assists in the seamless facilitation and implementation of supportive measures for complainants, respondents, and witnesses, as necessary.
  • Serves as an additional point of contact and maintains regular communication with parties to provide updates on case status, as necessary.
  • Assists with the intake, outreach, and response to allegations of violations of Title IX related policies, as necessary.

Campus Engagement

  • Coordinates and develops Title IX educational programs, including PowerPoint presentations and online courses, for faculty, staff, and students.
  • Assists in delivering trainings to faculty, staff, and students, in-person and online.
  • Contributes to organizing Title IX related events and outreach programs.
  • Coordinates with Marketing and the Title IX Team in the development of outreach materials, informational brochures, and posters for distribution.
  • Represents Title IX at various university events, distributing materials and addressing questions.
  • Assists in monitoring all Title IX websites and provides recommendations for updates and improvements.
  • Supports the marketing and implementation of Campus Climate Surveys.

Administrative

  • Assists the Executive Director of Title IX Compliance with administrative tasks, including but not limited to, mass communications, annual budgets, reporting, assessments, presentations, case files, and other administrative duties, as necessary.

Qualifications

Required Education and Qualifications:

  • Completion of a bachelor's degree in human resources, psychology, social work, sociology, higher education, or related field from an accredited institution of higher education or an equivalent combination of education and experience.
  • A minimum of two (2) years professional experience in case management and/or relevant discipline.
  • Experience and responsibility of working with sensitive and/or confidential matters.
  • Ability to learn, understand, interpret, and adhere to Federal and State laws and regulations including Title IX, FERPA, VAWA, Clery, etc.
  • Experience working with cases involving sexual harassment, sexual assault, or stalking is preferred. Experience or abilities in other areas may be considered.
  • Possess skills/attributes/proficiency in problem-solving, attention to detail, sound judgment, ability to prioritize, maintaining confidentiality and objectivity, and flexibility dealing with frequent interruptions.
  • Demonstrate excellent written and verbal communication skills, including the ability and confidence to provide group presentations.
  • Ability to maintain neutrality and work under stressful situations.
  • Experience working with students in institutions of higher education.
  • Strong and effective interpersonal skills; ability to listen, demonstrate sensitivity and respect for individual's needs while maintaining professional decorum.
  • Ability to establish and maintain professional and productive working relationships with all constituencies, including working with a team.
  • Strong work ethic; attention to detail, highly motivated, and self-directed execution of routine and special projects.
  • Due to the nature of this position, the person in the role must possess patience and kindness, be able to cope with the details and language used by the parties involved and maintain objectivity.
  • Must be able to adapt to new federal regulations, which may include position description changes.

Preferred Qualifications:

  • At least two years of experience with Title IX in a higher education or K-12 setting.
  • Demonstrated experience managing database systems, tracking data and/or cases, and developing custom reports.
  • Experience working with diverse constituencies and confidential materials.
  • Demonstrated experience working with software, including Maxient, PowerPoint, Word, Excel, Adobe Acrobat, and PeopleSoft/Oracle (e.g., Campus Solutions).
