JOB SUMMARY

Performs general administrative functions as needed to support and ensure the efficient operation of the assigned department, budget center or division. Performs other duties of a similar nature as may be required.

ESSENTIAL FUNCTIONS

- Answers and transfers incoming phone calls. Welcomes and directs visitors to the appropriate location. May supply information to callers and records messages if needed. Responds to and resolves administrative inquiries and questions.

- Maintains paper and electronic filing systems as assigned.

- Coordinates and schedules meetings using Microsoft Outlook and reserves meeting rooms using Sewer District applications. Ensures supplies and equipment are set up properly.

- Prepares agendas as needed. Records and distributes minutes or other records for meetings.

- Prepares written correspondence, spreadsheets and presentations using Microsoft Office Suite including Word, Excel and PowerPoint.

- Assists with the administration of Sewer District contracts.

- Prepares purchase requisitions, expense requests and expense reports using Sewer

District information systems. Processes invoices for payment. Enters data into Sewer

District's budgeting system.

- Runs reports using Sewer District's timekeeping system.

- Processes union grievances.

- Prepares personnel requests and assists with the onboarding of new employees.

- Assists with the administration of training and associated documentation.

- Orders and maintains office supplies and coordinates maintenance of office

equipment.

- Sorts incoming mail for distribution and dispatches outgoing mail.

- Performs other duties of a similar nature as may be required.

MINIMUM JOB REQUIREMENTS

EDUCATION

- Candidate must possess an associate degree, preferably in Business Administration or a closely related field.

- Equivalent combination of relevant education and experience may be substituted as outlined in the Education Equivalencies Policy.

EXPERIENCE

Candidate must possess three (3) years of experience in a general office setting. Experience performing administrative functions preferred.

OTHER REQUIREMENTS

KNOWLEDGE, SKILLS AND ABILITIES

- Candidate must possess effective written and verbal communication skills. Must possess strong interpersonal skills and establish and maintain effective working relationships.

- Candidate must be detailed oriented and possess strong organizational skills.

- Candidate must be proficient in Microsoft Office Suite, including Word, Excel, Outlook and PowerPoint.

PHYSICAL AND MENTAL REQUIREMENTS

During the course of performing the essential functions of this position, the employee must be able to analyze, communicate, comprehend, coordinate, make decisions, possess general intelligence, interact, possess numerical intelligence, organize, problem solve, have resilience and perform tasks. Physical work will need to be performed, such as balancing, bending, climbing, crouching, kneeling/squatting, reaching, sitting, standing, talking, typing and walking. Ability to push, pull and lift from floor to waist and waist to shoulder up to 10 lbs. on a frequent basis and push, pull and lift from floor to waist up to 40 lbs. on an occasional basis may be necessary. Position will require visual demands of accommodation, color vision, depth perception, far acuity and near acuity. Ability to withstand faint to moderate noise exposure for fifteen minutes or longer on a frequent basis is required. Exposure to environmental conditions such as outdoor work is encountered in this position.

Pay Range: USD, Commensurate with Experience

$24.71 - $29.64 hourly
