ABOUT THE JOB The Administrative Assistant provides direct administrative support to the Division Management team and works in collaboration with other team members and departments. This position is responsible for documenting and distributing division procedures to field locations and other departments and is based in the Division office. WHAT YOUR DAY WILL LOOK LIKE
- Coordinate internal and external correspondence. Professionally compose letters, memos and announcements and distribute information as needed.
- Assist with disbursement and collection of information to and from Branch Managers and location team members.
- Communicate regularly with Corporate departments regarding policy and procedural updates/changes and revise Division procedures as necessary.
- Coordinate meeting details including meeting space, overnight accommodation, agenda, materials, AV, meals, and communications.
- Perform Division administrative assignments as needed including routing documents for approvals, compiling reports, paying invoices, record maintenance, and setting up virtual meetings.
- Handle purchasing of Division office supplies and assist with general office management of the facility and equipment.
- Provides scheduling details and assists Managers with travel arrangements.
- Reliable and regular attendance is expected.
- Other work-related duties as assigned by the Supervisor.
EDUCATION & EXPERIENCE
- High school diploma or equivalent is required.
- Three years of experience in a business environment is required.
- Valid U.S. driver's license is required.
SKILLS & QUALIFICATIONS
- Computer skills including proficiency in Microsoft Office 365 with an emphasis on Excel, SharePoint and OneDrive.
- Aptitude for learning new software and systems.
- Ability to prioritize numerous projects and duties.
- Highly organized with great attention to detail.
- Written and verbal communication skills.
- Customer service and problem-solving skills.
- Ability to perform in a fast-paced environment and adapt to changing objectives and timetables.
- Handles confidential information with care.
WORK ENVIRONMENT & PHYSICAL ASPECTS OF THE JOB The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand and sit. You may be occasionally required to lift or move up to 20 pounds.
