This is a part-time position located in Hershey, Pennsylvania. The company will not provide relocation assistance or other employment benefits for this position.

The primary responsibility of the Scheduling Assistant is to ensure that customer experience needs are met by having appropriate staffing levels across the business. The incumbent will optimize staffing and develop scheduling templates based on business needs while staying in line with the labor budget. This position is responsible for completing and communicating the schedule for all areas of the business within established deadlines.

RESPONSIBILITIES AND DUTIES:

Weekly Scheduling: Using WorkForce, the Scheduling Team is responsible for the creation and maintenance of the weekly schedule according to plan and under the direction of department managers. This position also includes constructing schedule templates under the direction and guidance of the department manager. The position is responsible for the everyday maintenance of the schedule, communication of the schedule, and making updates as required. This position will assist in the planning and creation of annual schedule templates in line with labor budget. Lastly, the Scheduling Team is responsible for monitoring employee availability and notifying department manager of exceptions.

Management of Time Off Requests: This includes but is not limited to receiving, organizing, and approving/declining employee requests for time off and adjusting the schedule to ensure appropriate coverage. The Scheduling Team also must manage and communicate any changes or switches requested by managers or by employees.

Daily Scheduling: The Scheduling Team manages the creation, posting, and daily maintenance of the daily schedules.

Administrative Duties: Administrative responsibilities of the Scheduling Team include reviewing and verifying weekly flex-force payroll, entering and reviewing employee attendance, and notifying the appropriate manager(s) of employee attendance incidents that require follow up. Additional duties may include filing papers and forms, logging medical excuses, completing unemployment claim questionnaires, updating the employee phone lists, the scheduling section of employment verification forms, and monitoring and tracking employee hours to ensure compliance with child labor laws and the Affordable Care Act.

In addition, this position will assist the department manager with specific duties and objectives within the department when needed.

  • Overhead lifting may be required

  • Must be able to communicate effectively with guests and fellow co-workers



MINIMUM EDUCATION AND EXPERIENCE:

Education:




  • High school diploma or GED equivalent is required



Experience:




  • Scheduling experience is preferred but not required
  • Basic computer experience, including basic to intermediate Excel skills, is required
