Position Summary Information


Primary Purpose
Under the general supervision of the Chair of Diagnostic Sciences, provides administrative support and coordination activities for academic programs and operations within the department.

Essential Functions

  • Provide administrative oversight of extramural programing to include working with SF operations on the extramural rotation assignments, monitoring and assisting with the processing of extramural registration activities including EXAAT, CErtiphi, and other background checks as necessary to meet extramural rotation requirements, communicating with all extramural rotation sites, and student travel reimbursements in coordination with financial services.
  • Coordinate DS 307 Extramural Programs Course; site creation in Learning Management System (LMS); upload documents, grades, and presentations; prepare and format course material documents; create student lists and seating charts; prepare utilization of educational technologies for class sessions; track student attendance; reserve rooms and coordinate class room set up; and compile results from course polls and surveys; manage student rotation issues,
  • Provide administrative support to the Pacific Center for Equity in Oral Health Care, tracking grants, budgets, and assisting with grant applications, data acquisition, and the submission process.
  • Enter outcomes data and produce reports; create and maintain spreadsheets to record and calculate outcomes tracking for accreditation and for the Chair of Diagnostic Sciences.
  • Provide coordination and support for department special projects such as the Redwood Navigation Center.
  • Participate and support long term goals and strategies to meet changing needs of the Department of Diagnostic Sciences and the School of Dentistry
  • Perform all other duties as assigned by the Chair of Diagnostic Sciences.

Minimum Qualifications
Knowledge of:

  • Principles of business letter and report writing.
  • Intermediate level Microsoft Word, Excel, Access, PowerPoint, Adobe Photoshop, and e-mail systems.


Experience:
  • Minimum of 3 years increasingly responsible administrative support experience.
Education:
  • High school diploma or equivalent.
Working Conditions:
  • Position is five (5) days per week, seven and one-half (7.5) hours per day.
Preferred Qualifications
Knowledge of:

  • Canvas learning system knowledge if possible.
  • Dental/medical terminology helpful.
  • PubMed or other on-line library, literature databases.


Ability to:

  • Manage time, organize duties/assignments, and set priorities to meet multiple deadlines.
  • Work effectively and accurately with multiple interruptions.
  • Take initiative in the organization and maintenance of departmental responsibilities, projects, and procedures.
  • Work productively under pressure with minimal supervision.
  • Variety of office/business machines to include computer, copier and scanner
  • Use educational computer programs / classroom technology utilized student assessments as well as classroom and seminar support
  • Maintain high level of confidentiality of information.
  • Demonstrate excellent attention to detail, problem solving, judgment, customer service and follow-through skills.
  • Project a professional image, demonstrate strong interpersonal skills and communicate in a collegial and professional manner with administrators, faculty, staff, residents and students.

Experience:
  • Previous experience in an academic setting highly desirable.
Other:

  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Hiring Range 33.26 per hour
